Essential Responsibilities    


  • Performs various administrative duties for customer service team including customer file maintenance and filing, invoice preparation and mailing, purging quote files among others.

  • Provides backup to the front desk receptionist, covering absences and break periods.

  • Performs special project functions for accounting, human resources and other departments as needed.

  • Tracks, orders and maintains all non-IT related supplies to include coffee supplies, office supplies and copy paper, among others.

Back-Up Responsibilities    


  • Organizes and supports in-house functions, meetings, etc.

  • Assists with set-up and clean-up of employee-related events and activities.

Supervisory Responsibility

This position is an individual contributor and has no direct supervisory responsibility.

Work Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

The employee frequently is required to stand, walk; use hands to finger, handle or feel; and reach with hands and arms.

 

Position Type and Expected Hours of Work

This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m. Occasional evening and weekend work may be required as job duties demand.

 

Travel

This position requires no measurable travel.

Required Education and Experience


  • High school diploma or equivalent required.

  • Minimum 1-year experience in an administrative role required.

 

Position Requirements


  • Excellent communications skills, both verbal and written, required; must communicate well on the telephone.

  • Basic computer skills required with preference for those candidates Microsoft Office experience.

  • Must be well-organized, have a high detail orientation and be flexible in performing daily duties.

  • Team orientation and ability to work well and communicate within a small team required.

  • Must be able to handle confidential information in an appropriate and professional manner.
