Position OverviewThis position provides event and donor relations support for KU Libraries' Office of Communications & Advancement (OCA). The Events & Donor Relations intern will have the opportunity to develop and practice event coordination skills, while learning the complex nature of donor relations and how communications and public relations are critical components to event coordination and fundraising. The individual in this role will have direct contact with the Dean of KU Libraries, as well as Board of Advocate members and donors from across the region who attend KU Libraries events. Job DescriptionUnder the supervision of the Events Coordinator, the intern may:
Assist Events Coordinator with planning and implementation of events
Assist with the ordering of catering, rentals, and other events-related items
Assist in the preparation of complex mailings
Help prepare event materials including name tags, programs, and displays
Work with Events Coordinator and other interns/staff to setup events (tables, flowers, linens, AV equipment, etc.)
Greet event attendees and donors, while distributing name tags and event details
Help transport events-related materials to locations both on and off campus
Assist with tracking and managing RSVPs
Assist with event follow up and donor acknowledgements
Complete general office duties as assigned by supervisor or OCA team members
Welcome visitors and answers phone calls in the administrative office
Other responsibilities as assigned by supervisor or OCA team members
Required Qualifications
Must be a KU student enrolled in at least six credit hours
Effective interpersonal communication skills as demonstrated by application materials
Excellent organizational skills, accuracy, and attention to detail as evidenced by the application material
Ideal candidates will possess the following qualities:
General knowledge of office equipment
Computer skills and experience using Microsoft Word, Excel, and Outlook
Clear communication skills and strong attention to detail
Excellent email and phone etiquette
Ability to work both independently and collaboratively
Positive attitude and professional demeanor
Availability to work 15-20 hours a week, including some evenings
Preferred Qualifications
Previous event planning and implementation experience
Familiarity or experience using donor/event management database
Knowledge of and enthusiasm for KU Libraries and an interest in donor relations and event coordination
Experience in photography or a willingness to learn a plus, but not required
