In this role, you will play a critical part in supporting the day-to-day operations of our organization by providing efficient administrative support. What You'll Do

  • Support the Documentation Coordinator by organizing and maintaining legal files and coordinating signatures for legal and bank documents.

  • Maintain Investor Management System by coordinating investing signatures, tracking commitments and maintaining investor profiles.

  • Develop and maintain a comprehensive fleet management program, including vehicle renewals and inspections, repairs, and preventative maintenance.

  • Scheduling (including air and ground transportation), invoicing, credit card reconciliation for NorthPoint air fleet.

  • Assist in planning for investor visits, including scheduling meetings, coordinating logistics, and ensuring all necessary resources are available.

  • Prepare and distribute professional and timely communications, such as memos, emails, and other correspondence.

  • Maintain accurate files, databases, and records, ensuring they are up to date and readily accessible.

  • Prepare reports, presentations, and other documents as required, ensuring accuracy and attention to detail.

  • Answer inquiries, screen calls, and direct phone calls appropriately, prioritizing urgent matters and providing exceptional customer service

  • Greet and assist visitors, clients, and employees in a professional and friendly manner.

  • Support general administrative tasks, including expense reports, photocopying, and scanning, as needed.

  • Performs various offsite office errands including but not limited to: DMVS, Post Office, banks, client/vendor offices, managed property and any other requested location pertaining to office needs.

  • Assists with special projects and performs other duties consistent with the position as assigned.

Who You Are

  • Bachelor's Degree preferred; Associate degree in Paralegal Studies or related field will be considered.

  • Proven experience as an Administrative Assistant or in a similar role, with a focus on legal documentation, closings and title work is a plus.

  • Proficient in MS Office (Word, Excel, PowerPoint) and other relevant software.

  • Excellent written and verbal communication skills, with the ability to convey information clearly and professionally.

  • Preferred to have solid understanding of real estate terms and processes but not mandatory

  • Strong organizational and time management skills, with a keen eye for detail and accuracy.

  • Ability to multitask, prioritize tasks effectively, and meet deadlines in a fast-paced environment.

  • Professional and friendly demeanor, with strong communication and interpersonal skills.

  • Energetic, resourceful and hands-on individual with a strong customer service orientation.

  • Will utilize UBER or similar car service to transport NorthPoint vehicles as needed.

  • Discretion and confidentiality when handling sensitive information.
