Job Description:

GENERAL SUMMARY/ OVERVIEW STATEMENT: Summarize the nature and level of work performed.


The Administrative Coordinator, working closely with the Administrative Manager and Director of Cardiology Advance Practice Providers (APP), provides support for administrative and operational tasks on behalf of the Cardiovascular Medicine, Cardiovascular Disease Prevention, and Heart Failure/Transplant sections of Cardiology. Emphasis is placed on the ability to organize priorities, complete tasks, manage confidential information, and enhance the quality of service to all.



PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.


• Performs payroll data entry (UKG)


• Functions as an Epic Super User


o Runs and distributes key practice-related reports


o Builds and manages provider scheduling templates


o Enters and tracks Helpdesk tickets to resolve Epic- and Patient Gateway-related issues


o Attends monthly Cadence Super User Forum


o Acts as a subject matter resource to administrative support staff


• Assists with the management of projects for each area including but not limited to construction projects, computer replacement projects, Cardiology Division initiatives.


• Effectively interfaces with leadership, clinicians, support staff, and other internal/external stakeholders


• Establish and maintain collaborative relationships with internal staff and serve as a resource for both internal and external customers


• Runs and distributes iPort reports


• Attends monthly Payor Information Forums and Ambulatory Management meetings. Acts as a subject matter resource to administrative support staff.


• Enters Buildings & Grounds, PHS IS, and Telecommunications work orders.


• Responsible for supply ordering including pre-approved orders for computer equipment (Ergonomics), stationary (Allied Group), and lab coats (Medline Industries)


• Assists in the communication of department announcements, policies and procedures as appropriate


• Performs other duties and supports special projects that are appropriate to this position



SKILLS/ ABILITIES/ COMPETENCIES REQUIRED: (MUST be realistic, measurable, objective, and related to the essential functions of the job.)


• Demonstrated proficiency with Epic, Microsoft Office suite, and other hospital software.


• Exceptional organizational skills, flexibility to handle multiple tasks and deadline pressures, and accurate attention to details.


• Excellent interpersonal skills.


• Ability to work independently or in a team environment


• Must have the ability to function in a fast-paced environment and manage competing demands effectively.


• Demonstrated ability to work effectively and courteously with diverse groups of patients, staff and providers while handling various tasks simultaneously.


• Demonstrated ability to solve problems and function as a resource to other members of the team. Ability to resolve complex issues on behalf of the providers and the patients.


• Requires a high level of empathy, compassion and confidentiality.


• Knowledgeable and compliant in all hospital, State and Federal regulatory requirements, including hospital policy and procedures (where applicable to the performance of the job), Joint Commission, and Health Insurance Portability and Accountability Act of 1996 (HIPAA).



Qualifications

QUALIFICATIONS: (MUST be realistic, neither overstated nor understated, and related to the essential functions of the job.)


• Bachelor's degree required


• 2-5 years of healthcare administration experience preferred


• Healthcare experience preferred


• Experience at an academic medical facility desirable
