Position Summary:
The Office Assistant is a vital team member of the Office of the Vice President for Student Affairs, providing both administrative and confidential support. Situated at the front desk within the office suite, this role is the first point of contact for students, faculty, and staff, requiring a professional, welcoming demeanor. The position demands strong organizational and communication skills to effectively manage multiple tasks in a dynamic, fast-paced environment. The Office Assistant will assist in scheduling, data entry, travel arrangements, and financial processing, ensuring the office operates smoothly and efficiently. Ability to work effectively with a wide range of constituencies in a diverse community.
Essential Duties and Responsibilities:
The following are the functions essential to performing this job:
1. Front Office Management: Serve as the first point of contact for the office, managing calls and visitors with discretion, professionalism, and efficiency.2. Administrative Support: Assist in scheduling meetings for the Vice President for Student Affairs, including room reservations, managing RSVPs, agenda distribution, and minute taking.3. Financial Administration: Prepare and process purchase orders, vouchers, and budget transfers. Monitor expenditures and prepare detailed expense reports.4. Record Keeping: Create and maintain accurate, confidential office records and files.5. Supply Management: Ensure the office is fully stocked with essential supplies (e.g., printing paper, toner, pens, etc).6. Travel Coordination: Assist with travel arrangements and itinerary preparations for the Vice President and staff as needed.7. Additional Duties: Take on special projects and perform other duties as assigned to support the office's goals and initiatives.
1. High School Diploma /GED2. A minimum of two (2) years of administrative experience, preferably in an educational or office setting.3. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
1. Associate or Bachelor's degree in business administration, communication, or related field.2. Experience in higher education administration.3. Familiarity with student information systems and office technology.4. Strong interpersonal skills with the ability to interact effectively with a diverse community.5. Ability to multitask, prioritize, and manage time efficiently.
