The Executive Secretary, under the direction of the Director and/or Assistant Director of Alumni Engagement and Annual Giving plays an integral role in the budget maintenance, events/program coordination, and volunteer recruitment.
- Acts as an office manager; coordinates and prioritizes administrative duties.
- Assists with preparation and programming for Alumni Association and coordinates internal and external contacts and communications for the unit
- Arranges for meetings, conferences and social functions and events. These arrangements include but not limited to; assisting in composing, printing, and sending invitations; determining appropriate location, room space and time; ordering refreshments; notifying police for parking location and reservations; and ensuring the proper signage is displayed.
- Inform staff on budget status and provide guidance and assistance for budget proposals and funding sources
- Maintains, monitors, and reconciles State E&G and Foundation budgets
- Serves as support for search committees, for the operations of the UDAE unit.
- Makes travel arrangements and handles all paperwork involved in reimbursement for travel expenses.
- Maintains inventory and handles purchasing of office supplies.
- Coordinates general building maintenance and purchases items used in the common areas.
- Maintains a Procedures manual for this position.
During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off campus location or place of residence.
