Job Description:

Position summary:



The CMMS Master Data Admin is responsible for supporting Gaithersburg Facilities and the Reliability departments through implementing the SAP PM (Preventive Maintenance) Program in the CMMS. The CMMS Master Data Admin will create PM records, enter data for new equipment/update data for obsolete equipment, create/assign; remove/delete roles and maintain, expand, and modify the database; train system users; and work with other groups to incorporate CMMS work practices in their areas.



Major duties and Responsibilities



  • Provide SAP system and process expertise to the Site Facilities Operations Teams.


  • Input PM (Preventive Maintenance) routines and schemes developed by the Reliability department into the CMMS in accordance with the requirements of all relevant SOPs and EHS guidelines for all assets maintained by the Facilities Department.


  • Maintain the CMMS database supporting the day-to-day operations within Facilities.


  • Provide CMMS system support and training for Facilities Technicians and other system users.


  • Build information into CMMS database for site expansion and adherence to cGMPs.


  • Modify the standard planned maintenance task records on the CMMS system.


  • Assist Reliability Engineer by providing extracts from the CMMS. Assist Reliability Engineer to develop equipment maintenance strategies according to Failure Modes, Effects, and Analysis (FMEA) and Root Cause Analysis (RCA).


  • Maintain the Facility equipment history and information files.


  • Create Maintenance Plans from Equipment Maintenance Strategies (developed with Reliability departments).


  • Create Task Lists (developed with the Reliability department collaboration).


  • Provide CMMS training for all new staff and existing.


  • Create / assign / remove, job roles within the CMMS for staff as approved by management.


  • Create PM records and MRO Equipment Master Data in SAP Plant Maintenance module.


  • Establish and maintain all maintenance-related master data including Functional. Location, Equipment, Bill of Materials, Warranty, Permit, and Measuring Points.


  • Prepare job plans in collaboration with the Reliability dept that are ready for scheduling, detailing workforce, parts, materials, special tools, external services, reference documentation and drawings with planned costs.


  • Work with the Reliability department to identify risks and prepare for contingencies within the job. Plan: review, improve, and optimize standard job plans for safety, reliability, and cost effectiveness: and determine cost estimates for job plans and budgetary forecasts for major scopes of work and facility outages.


  • Maintain and update SAP master data related to production, including Bill of Materials (BOM), work centers, PM job plan tasks, routings, and production versions.


  • Ensure accuracy and consistency of master data to facilitate smooth production processes.


  • Work closely with production teams, procurement, logistics, and other relevant departments to coordinate and communicate production plans and changes.


  • Facilitate regular meetings to review production performance, discuss challenges, and implement continuous improvement initiatives.


  • Generate reports and analyze key performance indicators (KPIs) related to production planning, identifying trends and areas for improvement.


  • Provide insights and recommendations to management for optimizing production efficiency and meeting business goals.

  • Support the development/training of job aids for the roles/transactions per job function within Hard Services.


  • Develop global/enterprise focused data definitions, business rules and standards for Master Data.


  • Develop, monitor and enforce data management policies, procedures, and standards.


  • Ensure accurate, compliant and standardized master data to facilitate smooth production processes.


  • Assist Procurement with all material, information, and source list record information required to run MRP through SAP.





Additional Job Functions



  • Continually improve long term maintenance plan to minimize the downtime and maintenance cost.


  • Regularly review the maintenance programs through auditing KPIs, failure causes, and delay codes to identify improvement opportunities, with emphasis on reliability techniques and benchmarks against external companies.


  • Work with Planners and Schedulers to provide workforce forecasting for different crafts.


  • Ensure appropriate involvement in other Master Data activities to integrate Maintenance, Reliability, Materials, Facility Project, and Safety requirements.





Requirements/Qualifications:




  • Education:



High school degree with additional vocational training in administrative capabilities and an exceptional understanding of computer software systems. Exposure to maintenance systems and working with maintenance/facility organizations.



  • Certificates, Licenses, Registrations:



Certified SAP PM Module Specialist is preferred.



  • Experience:



5+ years' experience in an administrative position with a minimum of 5 years in a CMMS position along with this experience in an industrial engineering/maintenance environment.
