Purpose



The primary purpose of the Case Aide role is to provide support to CWS Lancaster resettlement team with any services required under the Cooperative Agreement with the Department of State, Bureau of Population, Refugee and Migration, as well as under the Matching Grant (MG) Agreement with the Office of Refugee Resettlement.


The Case Aide will also schedule initial medical appointments, clothing bank appointments, Social Security appointments, and coordinates transportation needs for new arrivals with volunteers and case managers.


The Case Aide will work with the case managers, Resettlement Supervisor and Associate Director for Welcome to address areas of concern and gather any missing documentation.



Responsibilities




Essential Duties:



  • Completes initial training on case file requirements, templates and housing paperwork.

  • Locate, retrieve, and make copies and/or scans of information from files as requested and necessary.

  • Responsible for performing high quality, independent case notes and files review, ensuring digital and paper files are complete and meet the reporting requirements outlined in the Cooperative Agreement with grant funders.

  • Assist case managers with home visits and intake paperwork, including adding all the demographic information to the case file.

  • Assist case managers retrieving I-94s and submitting AR-11 forms for each case.

  • Assists theresettlementteamin preparing and documenting monthly maintenance assistance requests and distributes financials.

  • Assist the resettlement team with preparing pre-arrival material such as welcome documents, creating a physical file, grocery, setting up phones, and any other tasks as necessary.

  • Documents all services in clients' case notes.



  • Schedules initial medical and bloodwork appointments with Union Community Care and/or Lancaster General Hospital upon receiving travel notification (on IRIS) for new refugee arrivals and/or MG asylee enrollees.

  • Schedules clothing bank appointments with Conestoga Valley Community Christian Services or other community providers if necessary.

  • Schedules Social Security appointments as needed and follows-up with local SSA point of contact regarding clients' SSN application status.

  • Shares all appointment times and locations for new arrivals with appropriate case manager and volunteer engagement specialist.

  • Updates Sign-Up Genius page with ongoing transportation needs and coordinates with volunteers who confirm availability in a timely manner.

  • Documents all scheduled appointments in clients' case notes.

  • Search and develop new partnerships with other clothing banks within the 100 miles radius as needed.



  • Assist case managers in any assigned tasks to complete core program services within the required timeframe.

  • Tracks completed case files in coordination with Case Manager that are ready for a final review by the Supervisor and Associate Director.

  • Assists the Resettlement Supervisor in any duties he/she deems necessary.


Common Duties:



  • Advocates on behalf of refugees and immigrants and voluntary agencies serving those clients.

  • Keeps informed about refugee and immigrant issues, and available services to clients, using current information to better identify and serve refugee clients.

  • Represents the program at meetings and speaking engagements relevant to the responsibilities of the position.

  • Undertakes other duties as assigned (i.e. provide support with airport arrivals, transport clients to appointments, go grocery shopping with clients)

  • Develop rapport and form a respectful relationship with clients focused on helping them gain needed skills while using a strengths-based perspective.

  • Demonstrates sensitivity and appropriate responsiveness to cultural differences of agency clients, practicing cultural humility.




Qualifications




Education: Associate degree or bachelor's degree in education, Intercultural Studies, Social Work, or similar field or 2+ years of relevant work experience.



Experience: Previous work experience in refugee resettlement or other direct social services is preferred. Ability to educate in a culturally sensitive manner is required.



Special Requirements





  • This position requires in-person work at the CWS Lancaster office, with the possibility of some hybrid work from home.

  • Fluency in English and another primary refugee language (preferred)

  • Computer literate, with proficiency in MS Office (Excel, Word and Access) and internet applications

  • Strong organizational and time management skills are required

  • Superior English written and verbal communication skills

  • Valid driver's license and insurance

  • Clean Driving Record

  • Access to Personal vehicle

  • Must be able to travel frequently and independently throughout relevant region.

  • Must be able to work evenings and weekends as assigned.

  • Must be able to pass a criminal background check and credit check.
