Administrative Assistant, Disputes and Investigations

The Administrative Assistant will provide general support and assistance to the Executive Assistant and the groups general needs related to, client engagement matters, department activities, and personnel matters.
Responsibilities:
Monthly management and financial reports: accounts receivable, work in progress. preparing, tracking, and sometimes reaching out for collections
Submitting expense reports and timesheets
Coordinating travel plans, hotels, and car service and assistance with travel documentation
Assisting with calendaring, scheduling and organizing meetings as needed, conference calls and other departmental activities.
Coordinating subcontractor setup and subcontractor payment monitoring
Works closely with the staff to keep the team well informed of upcoming commitments and responsibilities, following up as appropriate.
Assisting with new hire onboarding, CPE (Continuing Professional Education) tracking, and Meeting & Event coordination
Provide general administrative support (e.g., copying sensitive files, binding, answering phone) and project specific assistance
Meeting and greeting clients and other visitors.
Assist with department activities/projects/ad hoc requests as needed and perform other work-related duties as assigned.
Qualifications:
A Bachelors Degree in relevant field of study (degree in business-related field a plus)
1-3+ years of Administrative Assistant or Executive Assistant in consulting, professional services firm, corporate or a law firm
Understands the importance of strict confidentiality of internal/personnel affairs/client information.
Highly proficient with Microsoft Office Suite: especially work with Excel; Word, Outlook, and PowerPoint
Expense experience is required, familiar with Concur is a plus or other expense programs
Ability and desire to learn and develop new skills
Basic knowledge of accounting and financial principles a plus
Excellent oral and written communication skills
Impeccable attention to detail and self-review and strong follow-up skills
Demonstrates ownership and accuracy of work product
Must work efficiently and be able to meet deadlines; strong time management skills; prompt reliable service
A self-starter who can multi-task and support multiple people with varied personalities
Ability to work independently, as well as on teams, in a fast-paced environment
Able to interact effectively and professionally with clients and all levels of firm personnel
Willingness to be coached/desire and capacity for growth/positive teaming attitude
Flexibility to work additional hours as required in office and remotely
The salary range is $50,000 - $60,000 annually, dependent on several variables including but not limited to education, experience, skills, and geography.
