Provide Administrative assistance to the Dean's Office. Responsible for specialized and complex record keeping requiring a broad knowledge of University systems and policies, as well as College and Budget operations.
Principal Duties and Responsibilities
Oversees administrative and secretarial support functions to the CAS Dean's office
Establishes work priorities
Organizes materials
Serves as resource on questions regarding policies and procedures, Finance and overall college operations.
Direct student support staff in answering questions and solving problems
Perform liaison functions with other college and university offices to facilitate problem-solving
Oversees production of written material; proofreads and edits for content as necessary; prepares complex materials; prepares and formats brochures, graphs, posters, etc.
Coordinate inter-unit operations, procedures, and activities with other secretarial/clerical personnel to maintain consistency in the application of policies and procedures as related to the assigned work area
Answer inquiries or complaints from faculty, staff, students, or guests
Submit requisitions, expense reports, and personnel action forms for various personnel using 3rd party software.
Provides administrative support; maintains calendar using judgment to determine priorities and make changes; arranges meetings; completes arrangements for travel and other activities
Compiles data and produces reports and presentations; assists administration in researching problems
Perform duties of Building Administrator for management. Schedules, coordinates, and oversees building personnel activities
Coordinate and make recommendations on various operating controls to ensure efficient office management
Balance and reconcile account transactions for assigned areas
Submit University reports, answer correspondence, and work with outside agencies and businesses responsibilities, as appropriate.
Reconcile assigned accounts. Perform related college duties as required
Minimum Qualifications:
Comprehensive knowledge of record-keeping and accounting principles, typically acquired through the completion of two years of post-high school business-related course work or equivalent experience, is necessary to coordinate the record-keeping and/or service functions within a designated high-level accounting area.
Advanced knowledge of Microsoft Word and Excel is necessary.
Knowledge of standard office procedures and equipment is necessary.
Good communication skills are necessary.
Good organization skills are necessary.
Good bookkeeping skills are necessary.
Basic personal computing skills are necessary to utilize word processing, spreadsheets, applications, and file management functions.
Knowledge of specific software applications utilized in the area of assignment may be desirable.
Preferred Qualifications:
Two years of experience in an accounting or finance department is preferred.
