Job Description

Basic Function and Scope of Responsibility:



The Facility Coordinator is primarily responsible for the daily upkeep of the facility, warehouse and grounds.



Essential Job Duties:




Level I



  • Monitoring of specimen delivery area.

  • Transport specimen deliveries to laboratories as needed using corporate vehicle and notify Client Services of any delays in specimen delivery.

  • Keep common printer areas organized and stocked with paper.

  • Manage outgoing mail on a daily basis and assist with incoming mail as needed.

  • Monitor the ongoing effectiveness of our third party cleaning company.

  • Oversee day to day cleanliness and maintenance of the pre-accessioning area, kitchen, break room, conference rooms and other common areas (order and stock supplies, keep areas organized)

  • Provide back-up support when needed for the dismantling and disposal of packaging from incoming specimens

  • Perform routine safety / security checks of buildings and grounds; resolve any concerns with abilities (i.e. mopping up spills) or notify appropriate personnel for safety concerns as appropriate

  • Ensure recommended vehicle maintenance and repairs are completed

  • Collect trash throughout the facility and move to outside dumpsters daily

  • Utilize internal software systems

  • Clean driving record. Must be able to operate company vehicles including a 24' box truck and cargo van

  • Operate pallet jack to load and unload delivery trailers as required

  • Operate pallet jack to move heavy equipment from one building to another multiple times a day, year around

  • Actively participate in team and company meetings

  • Other administrative duties as needed

  • Other duties as assigned by management


Level II



Perform all duties of Level I, and in addition:


  • Perform in-house repairs and maintenance as needed

  • Conduct inventory, order and restock kitchen and janitorial supplies

  • Assist Safety Officer in emergency response and preparedness

  • Develop and maintain relationships with vendors and contractors

  • Maintain records of all building-related maintenance and repair work completed

  • Maintain facility plans such as floor plans and electrical/mechanical plans

  • Provide support and assistance as required for special maintenance projects (e.g. office moves, installations, furniture moving and coordination, warehouse inventory, office set-ups, etc.)

  • Coordinate maintenance and repair work with contractors

  • Use company owned vehicle to travel to local equipment, supply or building material dealers to pick up miscellaneous parts, supplies or tools needed, adhering to the company Travel and Expense Policy

  • Operate forklift or other machinery as necessary to unload or move components for storage, staging or placement


Level III



Perform all the assigned duties in level I and II, in addition:


  • Monitor and make basic setpoint adjustments to HVAC control systems.

  • Manage and/or act as primary lead for assigned contracted services.

  • Coordinate lab special projects, moves and support requests.

  • Manage lab warehouse storage needs and maintain inventory levels and conditions.

  • Review and act on daily / weekly / monthly in-house inspection trends.

  • Manage and coordinate assigned warehouse storage spaces, inventory and reorder levels, as needed.

  • Write, coordinate, and submit new or revised standard operating procedures for department activities.




Qualifications




Essential Knowledge, Skills and Abilities:




Level I: Minimum



  • High school diploma/GED required, some college coursework or degree preferred

  • Basic knowledge of building security, operations and upkeep; and personal safety

  • Comfortable handling/transporting raw specimens to laboratories; and assisting with support duties within the laboratories

  • Ability to lift and carry 25 pounds, stoop, bend and walk extended distances

  • Hold and maintain a valid driver's license and excellent driving record

  • Ability to manage projects, prioritize and multi-task

  • Ability to read and interpret documents such as internal SOPs, operating and maintenance instructions, and procedure manuals

  • Ability to work independently with little to no supervision

  • Solid judgment and decision making ability

  • Goal oriented, with excellent time management and organizational skills

  • Excellent interpersonal skills, with ability to interact effectively and work efficiently with people at all levels in an organization

  • Excellent verbal & written communication skills

  • Keenly attentive to detail

  • Ability to keep sensitive information confidential

  • Intermediate level of proficiency with PC based software systems


Level II: - Fully meets the qualifications of Level I plus the following:



  • Minimum of 5 years prior experience in facility coordination

  • Knowledge of common building mechanical systems, such as, HVAC, electrical, plumbing, security system, and fire suppression

  • Ability to build relationships and effectively communicate with vendors and contractors

  • Basic understanding and knowledge of building drawings

  • Ability to respond to emergency calls to perform emergency repairs during off-duty hours by using a pager, telephone, Department vehicle, hand tools, power and specialty tools, and necessary materials.

  • Ability to operate a forklift safely and efficiently.


Level III: - Fully meets the qualificatons of Level I and II plus the following:



  • 4 years as a Facilities Coordinator II.

  • Ability to read and analyze data trends and identify issues.

  • Ability to plan and coordinate special projects.

  • Ability to research pricing and sourcing for special parts, supplies and equipment on line and through supply houses.


Physical Requirements:



  • Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead

  • Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting

  • Ability to continuously operate a personal computer for extended periods of time (4 or more hours)

  • Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions

  • Using assistance as available, must have physical ability to push/pull heavy loads (may be in excess of 100 pounds) from one building to another across and asphalt parking lot

  • Ability to work in varying and potentially extreme temperatures, including exterior maintenance during cold and hot conditions and interior storage units including coolers and freezers.
