Job Description:

The Dodge Family College of Arts and Sciences is looking for an Administrative/Financial Coordinator to join our team. 


The Administrative/Financial Coordinator will manage the administrative and financial operations for the College's Online Programs office. The ideal candidate will be an adaptable multi-tasker with outstanding customer service skills and the ability to collaborate across multiple departments. This position serves as a liaison between Shared Business Services, OU Online, Classroom Management, faculty, staff, students, and other stakeholders. Strong organizational abilities and a team-oriented approach are essential for success.


Essential Responsibilities: 



  • Liaison with Shared Business Services for coordination of payroll, purchasing, financial items, and travel.

  • Reconcile monthly financial reports to clear outstanding expenses, payroll, and transfers.

  • Act as the payroll coordinator in coordination with SBSC.

  • Prepare budgets, track, and monitor expenses.

  • Create and manage new chart fields for programs.

  • Create, distribute, and track faculty teaching and course development contracts.

  • Schedule and manage courses to ensure proper fee structure and monitor enrollment.

  • Provide various reports on student enrollment and credit hour production.

  • Monitor the main email and answer general program inquiries.

  • Enter textbook adoptions.

  • Maintain the department website.

  • Assist students and faculty with overrides, grade change forms, I-make-up forms, and general policies.

  • Provide administrative support to staff and faculty including maintaining office filing, ordering supplies, and scheduling appointments.

  • Update office procedures for more efficient operation when necessary.    

  • Assist in planning and coordinating special events.

  • Serve as the departmental liaison with the College Dean's Office, Shared Business Services Center, OU Online, and various internal and external stakeholders.

  • Performs various duties as needed to successfully fulfill the function of the position


NOTE:  The position is located in Norman. Selected applicants may be eligible for a hybrid work schedule of 1-2 days remote after completion of sufficient training and demonstration of ability to handle the workload.

Required Education: Bachelor's degree in Accounting, Finance, Business, Management, or related field


Equivalency & Substitution: Will accept 48 months of related experience in lieu of the Bachelors degree

  • Standard office environment with extensive computer use.

Departmental Preferences:



  • Experience in Payroll, Finance or Administrative Support 

  • OU or higher education experience

  • Ability and desire to perform a number of different types of tasks throughout a given day, ranging from handling of urgent requests to long-term planning and office administration

  • Excellent office management skills

  • Critical thinking skills, including an aptitude to research, collect, and analyze data and prepare reports or responses to inquires

  • Welcoming and caring demeanor when interfacing with students, other staff and faculty colleagues on campus

  • Ability to learn new systems and processes

  • Willingness to work closely with supervisor, Dean's Office, and other departments across campus to manage work and solve problems
