Our client, a financial management company in Boston, is seeking a Temporary Executive Assistant to support two C-Suite executives for 3 months plus. This role will be the right hand to the leaders, ensuring smooth operations, effective communication, and efficient management of schedules and tasks. This role is Monday through Friday 8 am - 5 pm and can pay up to $40/hour based on experience. The ideal candidate will have experience working in a fast paced environment, have supported C-Suite executives and have worked in a similar industry.
Responsibilities:
Calendar Management: Coordinate and manage complex schedules, including meetings and appointments
Communication: Serve as a liaison between executives, internal teams, and external stakeholders. Draft emails, memos, and other correspondence
Document Preparation: Assisting in setting up wire transfers, DocuSign management, prepare reports using Excel, PowerPoint presentations, and documents for meetings and presentations
Event Planning: Assist in organizing company events, conferences, and team meetings
Confidentiality: Handle sensitive information with discretion and maintain confidentiality
Task Prioritization: Prioritize tasks and deadlines to ensure efficient workflow
Problem-Solving: Proactively identify and address challenges to support executive decision-making
Coverage: Backup to Receptionist or other EA's when needed Skills
Seeking the below:
Experience: Minimum of 2 years of experience as an executive assistant or in a similar role
Education: College degree preferred
Organizational Skills: Exceptional organizational and time management abilities
Communication: Strong written and verbal communication skills
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneDrive)
Adaptability: Ability to thrive in a fast-paced environment and adapt to changing priorities
Professionalism: Maintain a professional demeanor and represent the company effectively
Attention to Detail: Meticulous attention to detail and accuracy
Industry Experience: Financial industry and investment management knowledge is a plus
