Position Purpose Works as an integral member of the Finance and Administration (F&A) division to support the advancement of organization, team, and division goals. Serves as the administrative assistant for the Vice-President, Finance and Administration and the Associate Vice-Presidents. Serve as the first point-of-contact for customers for issues regarding the Finance and Administration division, applicable departments, and facility-related matters. Hear and resolve customer complaints in accordance with University policies and procedures. Support the division leader and his/her staff in duties as assigned, but not limited to: coordination of calendar for meetings, room reservations, and catering; preparation and coordination of minutes, briefings, and other materials for Board/Committee meetings; and coordination schedule of travel arrangements; and file management. Serve as liaison between the Finance and Administration Division leader and the department directors by conveying tasks for completion received from the Finance and Administration Division leader e.g., job targets, budget-related information, etc. Monitor and report status of projects to the Finance and Administration Division leader. Maintain knowledge of current projects, receive/relay confidential information, and ensure Finance and Administration Division leader receives important information in a timely manner. Maintain legislation-related files. Record, edit, and/or produce meeting minutes, memos, reports, agendas, charts, presentations, etc., as requested. Read and prioritize incoming correspondence. Research and/or obtain information related to correspondence received; resolve routine correspondence-related issues; refer complex issues to the Finance and Administration Division leader or his/her designee. Complete special projects for the university, and/or associations and organization in which the Finance and Administration Division leader participates, as assigned. Serve as Office Manager. Monitor the department budget. Procure & maintain equipment. Provide support to Administration Building Manager as requested. Vet & report building complaints, request needed repairs, send out notices to building occupants. Fiscal Note Response Preparation: Receive & review Fiscal Note Requests from state; gather input from UCM personnel, draft & send Fiscal Note Responses to state.

Other Education & Formal Training Associate’s degree in Office Administration, Business or related field required. Bachelor’s degree in Business, English, Office Administration, Student Personnel Administration or related field preferred.

Experience Minimum three years administrative assistant and/or executive secretary experience assisting a high-level administrator (e.g., president, vice president, dean, department chair, or director). One year experience in budget operations, financial analysis or accounting. Experience working in a university or college environment preferred.
