Advertised Job Summary:

This position serves as the human resources and fiscal affairs coordinator for the Department of Theatre and Dance. Under general supervision, performs a variety of human resources, financial, and administrative duties. Provides administrative support in the areas of human resources, personnel activities, budgeting, procurement, travel, accounts payable, accounts receivable, contracts, and maintenance of records. Assists with department communications.


Minimum Qualifications:

Bachelor's degree, or high school diploma and 4 years of responsible administrative work experience that is directly related to the area of employment; or equivalency.


Knowledge/Skills/Abilities:

Knowledge of University policies and procedures and be able to handle constant interruptions and changes. Must feel comfortable working with data from a variety of sources. Attention to detail. Have the ability to coordinate diverse administrative functions and train faculty on new platforms (Peoplesoft, HCM, Peopleadmin), when needed. Must be able to prioritize assignments and work with minimum supervision. Must be able to find solutions to problems. Knowledge of office management policies, practices, and procedures preferred. Ability to communicate well the working of payroll to faculty, staff, & student personnel, both verbally and in writing. Must maintain an effective working relationship with faculty, staff, and students. Must be a team player. Must have good analytical skills.


Job Duty:

Prepares accounting, budget and procurement forms including but not limited to payment requests, purchase orders, purchasing card requests and reallocations, preparation of deposits, cash receipts, and on a limited basis journal entries. Maintains and updates the department's vendor lists in the supplier database in PeopleSoft. Develop and maintain financial files. Assist in budget preparation and management. Gathers and processes information for fiscal reporting.

Support activities of the Chair and the Associate Chair by making travel and local lodging accommodations for guest artists. Acts as "proxy" to prepare travel authorizations and travel expense reports for faculty, staff, and guest artists.
