Job Description

We are looking for a team oriented, innovative, hardworking individual to provide a full range of high quality executive administrative support to the NA Supply Chain Vice President and the NA Manufacturing Vice President. This individual will work closely with the Director of Strategy and Transformation to coordinate the NA Supply Chain Leadership Team master calendar, including coordinating meetings, senior leader presentations, board decks, leadership team meetings, town halls, etc.

 

Executive Assistants at Kimberly-Clark manage access to the Executives, maintain and modify the Executives’ schedule, and ensure the Executives are made aware of issues that need immediate attention. They provide a broad range of highly skilled and highly confidential administrative support to the Executives, Supply Chain team members, and other visiting Executives as needed. The incumbent must be highly organized, maintain strong interpersonal relationships at all levels of the organization, be highly detail oriented with excellent communication skills, and work independently to efficiently resolve issues.

 

The primary duties of this role include:



  • Schedule Management: Manage the Executives’ calendar, responding to requests for time and rescheduling when necessary. This may involve scheduling meetings and conferences while coordinating with multiple parties. Resolving conflicts and prioritizing tasks is a must.


  • Travel Arrangements: Research, book, and manage Executives’ travel itineraries; flights, accommodations, transportation, and meals. Assemble information needed for the travel and prepare materials including itineraries. Manage reconciliation of corporate credit cards for self and Executives and working with managers/supervisors and senior management to ensure the accuracy/timeliness of expense report submission.


  • Meeting Management: Prepare department, staff, and other large-scale meetings, agendas, meeting materials, and presentations, and assist with notetaking and follow-up. This includes scheduling the required conference space with the required technology, facilitating refreshments, and managing the budget for these meetings and/or conferences.


  • Project and Task Management: Anticipate the Executives needs and proactively manage projects and tasks. Prepare presentations and reports, ensuring accuracy and clarity. Handle confidential business matters and work independently on special assignments.


  • Office Management: Provide leadership/mentoring/training for, and coordination of, the NA Supply Chain Assistant group, identifying and actioning continuous improvement items and best practices. Order department office supplies and equipment. Prepare and submit requisitions per KC policy and procedures.


  • Communication Hub: Act as a gatekeeper for the Executives. Screen phone calls, emails, and inquiries, and direct them appropriately. Categorize and prioritize the responses needed. Use initiative to prepare responses for signature and assemble background information from many sources. Follow up to ensure that proper and timely action is taken. Draft correspondence and prepare quality presentations. Respond to highly diversified inquiries from members of management, employees, and the general public. Provide courteous and efficient responses to phone inquiries determining from experience and training the limitations on the extent and type of information which may be provided.


  • Document Management: Maintain accurate records and files for easy retrieval when information is requested or needed, i.e., distribution lists.

To succeed in this role, you will need the following qualifications:


  • Bachelor’s degree OR High School Diploma /GED with at least 5 years of administrative support in a corporate environment, supporting executives

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

  • Strong problem-solving and analytical skills

  • Excellent written and oral communication, interpersonal, and organizational skills

  • Proven experience managing complex schedules and priorities

  • Ability to arrange travel (and understand international travel requirements), meetings, and catering

  • Ability to multi-task in a fast-paced environment, with excellent time management skills

  • Accuracy and high attention to detail

  • A demonstrated ability to act independently, take initiative, organize workload, set priorities, work well under deadline pressures adapt to change, and handle confidential material

  • Ability and willingness to work overtime on an occasional basis to meet workload demands

  • Comfortable in a changing work environment

  • Discretion and professionalism
