Student Rec System Analyst


Position Summary:

The Student Records Systems Analyst is a technical resource person in the Office of the Registrar responsible for addressing daily functional and technical issues that may arise with our BANNER ERP system. This position is to provide technical assistance and support as well as to act as the liaison with Spelman Technology Services (STS) for maintenance, upgrades, system analysis, troubleshooting, security, training and system performance evaluations. The Student Records Systems Analyst will assist the Registrar with data management efforts by running regular reports as assigned and assisting with monitoring data integrity focusing on College wide progression and graduation goals.


Essential Duties and Responsibilities :



  • Responsible for maintaining 25 Live Scheduling System

  • Builds and updates system validation and control forms for the operation of the Banner 9 student module for appropriate access by students, faculty, and administrators

  • Acts as the liaison for the department with STS regarding maintenance, upgrades, security, system analysis, training and system performance evaluations

  • Creates a calendar of reporting needs and generate appropriate snapshots of the database to support creation of internal and external reports

  • Develops and maintains an operations manual for the work station

  • Assists with walk-in customer service

  • Generate and electronically submit student enrollment and degree data to the National Student Clearinghouse and the Veterans Administration. Builds course schedules and cross-registration courses in collaboration with Department and Program Chairs

  • Trains users in the process of class roster access and grade submission

  • Coordinates, with the Office of Student Accounts and Housing, the generation of charges for tuition and fees

  • Assists in the implementation of BANNER-related projects

  • Provides support to the Spelman College Curriculum Committee

  • Advises the Registrar about staff training opportunities for BANNER and other technology

  • Serves as a Veterans Administration Certifying Official; Meets with students and/or parents to review VA eligibility prior to certification via VA Once portal

  • Reviews and considers student financial aid awards in the calculation of VA benefits

  • Responsible for Banner Catalog Maintenance

  • Assists with reviewing degree audits and running degree works processes

  • Assists with Registration

  • Assists in the fulfillment of departmental responsibilities as relates to baccalaureate and commencement ceremonies

  • Responsible for EAB Transfer Portal Maintenance





Required Qualifications:

High School Diploma and a minimum of three years of progressively responsible records management experience in a higher education setting, or equivalent combination of education and experience are required. Previous functional and technical experience working in a college or university is required.


This position requires excellent customer service, interpersonal, and organizational skills. Candidate must have an eye for detail with exceptional analytical and computational skills. Must have good oral and written communication skills. Must speak effectively when interacting with the public and the entire Spelman community is a must. Also, the ability to write reports, business correspondence, and procedure manuals.


Candidate must be experienced with data integration and report writing tools relative to how third party solutions interact with BANNER. Must have a keen sense of BANNER system architecture and how data moves through modules. In addition, the selected candidate must have a thorough working knowledge of administrative software packages and an ability to analyze system setup and demonstrate resolutions to functional and technical issues.


Incumbent must have advanced computer skills in all Microsoft Office Suite (Word, Excel, and PowerPoint) and have a keen sense of BANNER system. In addition to producing correspondence, memos, and emails, duties may involve assignments that require the use of spreadsheets, tables, computer generated graphics, Internet navigation, and Lotus Notes/Outlook. Experience working with Degreeworks and a digital imaging system and familiarity with "System Thinking" relative to its usage in an information driven environment is highly desired. Must be able to gather and compile data and prepare reports with a working knowledge of SQL and PL/SQL syntaxes.


The ability to use and understand advance report writing tools such as Cognos, Tableau, Argos, etc…. a plus. Demonstrated ability to gather and compile complex data blocks are essential skills needed for this position.


Experience working with a digital imaging system is desired.


Preferred Qualifications:

Bachelor's degree preferred.
