Job Summary / Basic Function:


SUMMARY OF JOB DESCRIPTION:The Manager for the Office of Instruction will provide essential and confidential administrative support to the Vice President of Instruction & Provost. The Manager interacts regularly with a diverse array of constituents including vice presidents, deans, faculty, students, and various external guests and colleagues of the Vice President of Instruction & Provost. The successful candidate must work effectively in a collaborative and fast-paced environment. Considerable discretion, judgment, and diplomacy are imperative for success in the position. Knowledge and experience in areas of budgeting, financial administration, and project management is required. Experience in state-reporting, articulation agreements, and grant compliance is preferred. Requires individual with strong sense of attention to detail and importance of meeting deadlines and who can cope with several tasks simultaneously. Initiative, self-starter, and analytical skills are mandatory. Above average skills in the utilization of computer systems, including PCs to extract (query) and report on information essential. Ability to work with minimal supervision and maintain confidential information required.



DUTIES AND RESPONSIBILITIES:


  • Manage reports and correspondences to internal and external constituents, including accrediting associations and other regulatory agencies

  • Assist with ensuring accountability and compliance of instructional programs with federal/state laws and regulations, and SACSCOC, THECB, TSUS and LIT policies and procedures

  • Consults with the Provost on issues requiring policy and process changes that impact student recruitment, retention, and success

  • Responsible for Perkins and Comprehensive Local Needs Assessment Reporting.

  • Manage initiatives and new software implementations

  • Prepare status reports on ongoing projects and action items

  • Coordinate with LIT divisions on an array of supportive programs and services for targeted populations to increase enrollment and retention

  • Assist the Provost in planning, developing, and administering the budget for instruction.

  • Coordinate with deans to set up Advisory Committee meetings, departmental recruiting events, and curriculum revisions and submission

  • Manage the division's annual operational budget expenditures and facilities, including documenting disposals, assisting in physical inventories, and maintaining appropriate records.

  • Maintain electronic and print files and records in a systematic, secure, and confidential manner

  • Participate in committee work as assigned

  • Must be capable of exercising a high degree of independent judgment and prioritizing work accordingly

  • Evening and weekends may be required

  • Other duties as assigned


Minimum Qualifications:


MINIMUM QUALIFICATIONS:


  • Bachelor's degree from a regionally accredited university

  • 3 years of work experience in an office management position

  • Experience in budget and project management


Preferred Qualifications:


PREFERRED QUALIFICATIONS:


  • Master's degree from a regionally accredited university

  • Proficient in Argos, Banner, Microsoft Office, Starfish

  • Supervisory experience

  • Experience in working with curriculum and faculty matters

  • Grant management experience


Salary:

$50,000
