Reporting to the Director of Admission Visits and Events, the Assistant Director of Admission Visits and Events supports the planning and execution of on-campus admission visits and events (campus visit days, individual visits, group tours, overnight visits, etc.), off-campus admission events (area receptions, summer send-offs, etc.), and supervision of our Overnight Student Ambassador (OSA) program. The position will work collaboratively to support the Admission teams and campus partners (Undergraduate Admission, Graduate Enrollment, Financial Aid, Information Technology, Institutional Effectiveness, Academic Colleges, etc.) to provide prospective visitors with the best Valpo experience. This role will manage invitations, communications, and registration forms and materials




Major Responsibilities:



  • Oversee group visits, including high school bus groups visiting the admission office and high school groups visiting other areas on campus (for example: Beacon Academy) to offer a robust visit experience

  • Execute day-to-day operations of the overnight visit program, ensuring all on-campus policies are being followed and recruiting, hiring, training, scheduling, and mentoring student staff

  • Plan, coordinate, and execute off-campus area receptions in partnership with the alumni relations office and other relevant on- and off-campus partners

  • Work with university marketing to develop, as well as maintain inventory and distribution of, visit and event-related promotional items, presentations, and print materials

  • Utilize Slate to assist the office with visit and event registration forms, communication, evaluations, and reports

  • Assist admission counselors by meeting with families individually and presenting at Valparaiso University at daily campus visits, particularly during peak travel season

  • Be familiar with all aspects of the office, front desk, and campus visit and event operations (including but not limited to training, supervision, and resources) and be able to cover these responsibilities when needed

  • Other duties as assigned




Required Knowledge and Skills:



  • Bachelor's degree required

  • 2-4 years of event management, preferably in the area of admissions and/or enrollment management

  • Proficiency with CRM required. Technolutions Slate preferred

  • Excellent interpersonal communication skills

  • Flexibility and adaptability to shift in changing priorities
