About the Department



The University of Chicago Medicine / Pediatrics Residency Program is comprised of 16 residents. Our mission is to train culturally humble leaders and innovators in practice, administration, research, and education. The University of Chicago Internal Medicine Residency Program, under the direction of Dr. John McConville, is comprised of approximately 109 Internal Medicine Residents and 4 Chief Residents. Our program is dedicated to achieving three predominant aims: excellence in patient care, leadership in medical research, and distinction in scholarship and education.

Job Summary:



Under limited supervision, the Project Assistant IV provides administrative support to the Med/Peds Program Director. Work closely with Program Directors to manage conferences and special events. Exchange pertinent information with individuals outside the Program and the Institution. Update/maintain the calendars of the Director. Maintain an organized filing system for all information related to the program. Coordinate the Director's responsibilities in various societies/committees. Coordinate all aspects of recruitment for applicants to the combined medicine/pediatrics residency program. Work on joint projects with Internal Medicine Residency Coordinators and Program Directors



Responsibilities:



  • Coordinate all aspects of Medicine/Pediatrics Residency Program (e.g., scheduling interviews and meetings, use and ERAS match system software, Thalamus scheduling software, coordinating preparation of materials for meetings).


  • Manage the application ranking session and tabulate all statistical data for ranking residency candidates.


  • Coordinate all credentialing aspects of the Internal Medicine and Medicine/Pediatrics Residency Programs. This includes responding to internal and external inquiries for verification of training and completing necessary forms for approval by the program director.


  • Work closely with the Medicine/Pediatrics Program Director providing secretarial and administrative support (e.g., managing calendars, preparing correspondence, scheduling and preparing folder reviews).


  • Provide back-up support to the Internal Medicine Program director, when needed.


  • Other duties as assigned.


  • This is an Academic Discretion position.





Competencies:



  • Proficiency with Microsoft Office suite required.


  • Must be self-motivated, able to work independently, and in an organized manner prioritizing the work of multiple projects with constant interruptions.


  • Excellent verbal and written communication skills required as well as the ability to work with a variety of people at different levels (faculty, administrators, etc.).


  • Must be able to work independently yet accept direction when needed. Must be able handle a large volume of work often restricted by deadlines.


  • Must have the ability to multitask and work independently as well as a team member. Proven ability to work effectively without supervision in a pressured environment.


  • Ability to anticipate faculty member's needs and act accordingly.







Additional Requirements





Education, Experience, or Certifications:




Education:





  • High School Diploma or equivalent required.


  • Bachelor's degree preferred.





Experience:



  • Three years of office experience required.


  • Four to five years of office experience in complex, fast-paced office environment preferred.


  • Hospital or academic medical center experience preferred.





Salary Range:



  • $21.97 - $32.16
