Job Summary

As an IT Administrative Assistant, you will provide administrative and clerical support for the IT Infrastructure team. You will also handle some analytical responsibilities, such as compiling reports, gathering requirements, doing basic requirements analysis, and basic data analysis in Excel. The IT Administrative Assistant must exercise considerable discretion and independent judgment.

Essential Functions, Duties, and Responsibilities

Inventory Management/Procurement:


  • Manage IT inventory, including tracking hardware and software assets.
  • Purchase and organize IT office supplies.
  • Procure to pay for IT-managed inventory, including sourcing, order processing, maintaining stock levels, receiving reconciliation, and timely invoice payment.
  • Invoice GL coding in alignment with Finance department directives.
  • Budget tracking and reporting.
  • Logical and organized file management system for IT records.
  • Assign and maintain asset tags for all IT equipment in an asset tracking system.

Mobile Device and Printer Administration:

  • Administration and management of mobile device contracts, including plan analysis, vendor negotiation for optimized pricing, and identification of billing deviations and anomalies.
  • Printer lease negotiations and contract management; coordination with finance for lease vs. buy decisions and lease payment management.
  • Facilitate printer service requests and printer swap-outs with vendors.

Administrative Support

  • Schedule meetings and events; create meeting agendas and meeting minutes.
  • Collect and analyze data from across the business for IT-related data.
  • Basic requirements gathering and analysis for infrastructure projects.
  • Answer, screen, and route incoming IT calls to appropriate team members.
  • Organize team materials and information (reference materials, org charts, etc.)
  • Compose correspondence, reports, spreadsheets, presentation slide decks, and other complex documents and reports.
  • Create and submit expense reports, equipment requisitions, and other documents on behalf of IT leadership as needed.
  • Assist with additional non-technical requests/projects.

Vendor Support: Coordinate with vendors for purchasing, repairs, and agreements.

End-user support:


  • Facilitate employee onboarding/offboarding to ensure timely end-user access management in Active Directory and other IT-managed systems.
  • Review service desk tickets and ensure routing aligns with SLAs.
  • KPI reporting for service desk tickets to ensure SLAs are being met.

Ability to maintain privacy and security when handling confidential information.
Qualifications

Educational and Experience Requirements


  • Associate in Arts Degree with 2+ years of experience in a related field
  • 2+ years of Administrative Assistant experience, preferably supporting an Executive
  • 2+ years' experience with Microsoft Office programs, including Excel, Word, and PowerPoint

  • Experience with basic Business Analyst responsibilities, such as gathering and analyzing requirements, data analysis, and reporting
  • Experience and comfort interacting with Executives, Directors, and staff at all levels
