Job Summary:

Supporting the CEO and COO of the company, the Executive Administrator works independently performing a wide range of sophisticated and confidential administrative/clerical support duties. The ideal candidate will have excellent communication and interpersonal skills.
Job Responsibilities:


  • Plan and scheduling meetings, conferences, teleconferences, and travel for executives.

  • Preparing and maintaining meeting rooms onsite and off for executive meetings.

  • Prepares reports by collecting and analyzing information.

  • Maintains files, travel preference and personal information on executives for concierge level service related to travel and general assistance.

  • Maintains executive's confidentiality and protects their time, schedule, and travel.

  • Completes projects in the order of importance on time.

  • Secures information by completing database and paper backups.

  • Provides historical reference by developing and using filing and retrieval systems and recording meeting discussions.

  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; and verifying receipt of supplies.

  • Maintain executives' offices and their supplies.

  • Contributes to team effort by accomplishing related results as needed.

  • On call during executive travel to assist as needed.

Education and Experience Requirements:

  • Bachelor's degree preferred but not required, or equivalent experience.

  • Five to ten years of executive assistant experience required.

  • Experience handling multiple calendars.

  • Experience booking travel.
