Job Description:

Job Summary

This position exists to perform and coordinate committee and operation activities in support of the Power

Electronics Society Executive Office in the manner determined by the Society Executive Director with input from

the volunteer leadership. This position is managed by the Executive Director. It is integral to ensuring that PELS is

compliant and consistent with the policies, procedures, operational and by-laws as directed by the IEEE Board of

Directors and the Technical Activities Board and ensures that PELS related volunteer leaders are prepared to do

their work in an efficient, effective and timely manner. This role supports a variety of PELS activities and business

operations with specific responsibility, working autonomously or under general guidance, and as subject matter

expert for multiple program areas of:

Membership and related Component (Chapter) Relations

Specialty Meeting Planning as assigned

(Contribute) Digital Content Management and Creation, Member Marketing & Promotion

(Contribute) Social Media Management, eNewsletter, and Website Maintenance

and any additional duties and special projects as assigned by the Executive Director. This role reports to the

Society Executive Director and does not manage any direct reports. The incumbent makes program area

administrative decisions and has responsibility for program and assigned project budget formulation, oversight,

and provides recommendations for process and program improvements while maintaining best-practices shared

and learned from other OUs. The incumbent is accountable for all described actions including results of both

internal and external contacts. This position exists to advance the mission of the Power Electronics Society in the

manner determined by the Society and volunteer leadership, as communicated by the Executive Director, and in

accordance with the Society and norms for quality, ethical behavior, accuracy, and confidentiality.

Key Responsibilities


  • Membership and related Component Relations (80%)

  • Serve as primary Liaison / support staff assigned to the VP of Membership and Chapters

  • Coordinate, Monitor, and assist in execution of Membership campaigns and logistics including annual Member Loyalty and Recognition programming

  • Research and prepare Membership data analysis and statistical reporting as requested

  • Generate and maintain Membership flyers and additional collaterals as needed/requested

  • Source and plan for any/all materials for conference/workshop/chapter-events exhibit at membership booths as requested

  • Generate membership reports for marketing campaigns and benchmarking as requested

  • Coordinate with IEEE-MGA to ensure distribution of welcome letters to all new Society members

  • Respond in timely fashion to inquiries and solution complaints by members

  • Create and maintain membership dashboards to track statistics and growth trends and demographics

  • Assist in design, distribution, data analysis, and report out of member needs assessment and other member-centric surveys

  • Design and deploy membership campaigns, membership rewards program recognition

  • Assist in creating membership brochures and collaterals

  • Mentorship Program and events

  • PELS Job Board

  • Membership Loyalty and recognition Program

  • Data collection and analysis of lapsed member campaigns and re-engagement efforts

  • Assist in logistics and meeting planning for any membership events at conferences

  • Young Professionals program support and event planning and support

  • Women in Engineering Committee event planning and support

  • Industry Advisory Committee event planning and support

  • Provide Chapter Kit to Existing & New Chapters

  • Assist PELS Membership or Chapter Chairs w/ meetings planning/prep as requested

  • Serve as primary Liaison / support staff assigned to the Distinguished Lecturer Program Chair, and DL speakers

  • Upon approved request, post event details on DL Calendar

  • Maintain and update DL roster on the website

  • Monitor DL reimbursements, send reminders, and track spending

  • Respond to any DL questions or inquiries as needed

  • Track and support Distinguished Lecturer activities provide or obtain information as needed by officers and board

  • Digital Content Management and Creation, Member Marketing & Promotion – 10%

  • Create and maintain membership marketing materials such as flyers, collaterals

  • Source promotional and branded giveaways as need for member loyalty and recognition programming

  • Create or source content, produce Membership program areas eNewsletters

  • Source and manage Chapter and Member News content assisting PELS Magazine content needs

  • Social Media Management, eNewsletter, and Website Maintenance - 5%

  • Maintain assigned program area content on Society website and social media platform

  • Contribute to inter-OU and sister-society news and content sharing

  • Manage membership special campaigns, coupon coding,

  • Manage and support National Society Partnership cross-membership agreements program

  • Other Duties or special projects as assigned by Executive Director 5%

  • Execute special projects or assignments as directed in a timely and efficient manner

  • Contribute to Society Review support and data collection duties as needed or assigned

  • Bachelor's degree or equivalent experience Req


Work Experience


  • 4-7 years Business experience working in a communications, non-profit governance support, business administrative, corporate or project management position

  • 4-7 years Event and Conference planning experience

  • 4-7 years Experience working with Volunteer Boards, Committees

  • 4-7 years Work experience in Social media and Community services

  • 4-7 years Workforce overseeing or administering websites and website content or working in a web, content or editorial production environment

  • 4-7 years Work experience in Conference Portfolio management, volunteer and Organizing/Steering Committee assistance


Skills and Requirements


  • Communication:

  • Possess excellent verbal, written, organizational skills with strict attention to detail

  • Ability to write and tailor content for a variety of international audiences (student, young professional, career members in industry or academics)

  • Professional communications - speaking effectively on the phone, in virtual meetings, and person to person situations

  • Ability to respond to requests/actions in timely and professional manner

  • Fluency in another language(s) a plus

  • Organization:

  • Ability to manage several projects simultaneously

  • Ability to work independently and/or with minimal supervision, interfacing with multiple stakeholders and demonstration of flexibility and creativity

  • Handles multiple assignments simultaneously with changing priorities and deadlines while resolving issues

  • Ability to manage and motivate a volunteer community to complete tasks

  • Coordinating calendars for large groups of volunteers

  • Personal time management and keeping Projects on time

  • Working independently and as a team in a diverse and fast-moving environment

  • Management of service providers

  • Ability to work across multiple departments/organizations within and outside of IEEE

  • Technology Knowledge:

  • Strong Command of various Microsoft Office Suite and Adobe Acrobat Professional with high command of Microsoft Excel and Power Point Presentations, Social Media tools and platforms

  • Working knowledge of Content Management Systems usage / web maintenance

  • Knowledge of and willingness to learn web conferencing, file sharing, web content management systems, project management software and online learning tools

  • Must be technologically savvy with a positive and proactive attitude

  • Use of web technology (e.g. Constant Contact) to create eNewsletters inform and notify Members of Society Activities

  • Knowledge of NextGen Financials and Contract management software a plus

  • Ability to create and disseminate Society content via Social media and websites

  • Experience with website analytic tools

  • Working knowledge of Roberts Rules of Order and legal documents regarding bylaws, policies and constitutions

  • International/domestic travel required (20% possible)
