Job Description:

O.E. DuRant, Inc, a subsidiary of Moran Towing Corporation, has a new opportunity available in the position of Billing Specialist . This full-time, hourly, non-exempt position sits in O.E. DuRant, Inc.'s Charleston office location, and reports to the General Manager.

Position Summary

The Billing Specialist manages all invoicing and Accounts Receivable functions for O.E. DuRANT, Inc. ("Company") and provides an important link between the Company and the customer. In addition to general office responsibilities, the incumbent is responsible for customer invoicing, new customer setup, new vendor setup, and some accounting-related functions.

SPECIFIC RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED, TO:

Accounts Payable/Accounts Receivable

  • Process all vendor invoices and payments in a timely manner. This includes coding and processing invoices correctly in COR360.

  • Review, preparation, and timely invoicing of all sales and services provided by the Company in Charleston and Wilmington, all the while ensuring accuracy and completeness of billing data.

  • Monitor and follow up on outstanding invoices, ensuring timely payment from customers.

  • Drive collections on all Accounts Receivable for the Company. Maintain overall receivables within acceptable age, communicating and escalating issues to General Manager when over 60 days.

  • Resolve billing issues, such as discrepancies or disputes, by communicating with clients and other stakeholders.

  • Vet new customers for credit terms and complete customer setup in the system.

  • Initiate new vendor setups for Accounts Payables.

  • Deposit company funds in the bank and process invoices, discounts, and receipts. Provide all required information to the Accounting Department for posting.

Operations


  • Write and maintain updated office procedures at the direction of Management.

  • Ensure that the office is always stocked with adequate supplies and equipment.

  • Provide general support to visitors.

  • Perform general office duties such as faxing, copying, etc.

  • Organize and file documents in accordance with Company retention policies.

  • Build and maintain strong customer and vendor relationships.

  • Other related duties as assigned.

Sales Administration


  • Processing Quotes:


    • Validate data and report key information to management.

    • Order items within established guidelines and/or specifications.

    • Receive quote requests directly from the customer or from the sales team and verify that the item is approved for quoting.

    • Request price bids from suppliers and validate costs.

    • Calculate shipping, duties and import/export fees associated with the quote.

    • Generate customer sales quotations by following pricing guidelines.

    • Record and file all documentation as backup.





  • Processing Orders:


    • Review and research, as necessary, to understand the product or service characteristics of the order request.

    • Audit order requests to ensure all required documentation is included.

    • Verify accuracy of all documentation and ensure all necessary approvals are in place.

    • Communicate any discrepancies to management.

    • Negotiate prices and terms with suppliers, and recommend suppliers with respect to cost, quality, and delivery competitiveness for assigned orders.

    • Validate customer purchase order pricing and supplier pricing.

    • Input all customer and supplier orders into ERP system (pricing, item & packaging specifications, quality requirements, production approvals, shipping marks, shipping schedules, etc.).

    • Send authorized POs to supplier and file hard copies appropriately.




  • Other related duties as assigned.

REQUIRED QUALIFICATIONS


  • High school diploma or equivalent.

  • Minimum 2 years of relevant work experience.

  • Valid Driver's License and safe driving record required. Both must be maintained throughout employment and the incumbent must adhere to the requirements of the Company's Driver Safety Policy.

  • Working knowledge of MS Word and Excel in an environment requiring administrative, financial, and clerical duties to support the office.


  • Ability to make arithmetic calculations and Metric vs. Imperial conversions.

  • Demonstrated ability to connect with customers and advance business objectives.

  • Strong problem-solving skills.

  • Strong organizational and time management skills, including the ability to remain focused and prioritize workload in a multi-task environment.

  • Strong interpersonal and verbal and written communication skills, including ease with phone and in-person contacts.

  • Ability to be a positive member of a strong team environment.

PHYSICAL DEMANDS OF THIS POSITION INCLUDE THE ABILITY TO:


  • Sit or stand for extended periods of time.

  • Use a computer for typing and data entry with good finger dexterity.

  • Frequently reach with hands and arms.

  • Work safely and navigate in an industrial setting.

  • Read and write small letters and numbers.

  • Occasionally crouch or stoop.

  • Occasionally lift and/or carry up to 20 lbs.

  • Hear and respond to verbal communication in noisy environments such as warehouses with moving heavy equipment.

  • Withstand occasional exposure to heat, cold and or/humidity.
