Job Summary



The University of Chicago is seeking an ERP Operations Manager in support of our new Oracle platform. As an Oracle Cloud ERP Operations Manager, the primary responsibility will be ensuring the smooth operation and efficient release management of Oracle Cloud ERP software within the University. This position will play a critical role in managing the ongoing operations of the ERP system, overseeing maintenance activities, and coordinating the release of new software updates. The ERP Operations Manager role will allocate 80% of their time to managing upgrades, bug fix and new releases, and the remainder on supporting the Director on strategy and relationships.



Responsibilities



  • Determines the scope, timeline, resources, and dependencies for each quarterly release and enhancements, ensuring that release activities are aligned with business requirements and University objectives.

  • Oversees the operation of the Oracle Cloud ERP system. Monitors system performance; identifies and resolves issues; and ensures optimal system availability and performance. Collaborates with technical teams to troubleshoot and resolve technical problems and coordinates with vendors for support as necessary.

  • Collaborates with stakeholders to plan and coordinate the release of new software updates and patches. Develops a comprehensive release plan that outlines the scope, timelines, and deliverables.

  • Works closely with stakeholders to assess the impact of software releases on existing business processes and systems.

  • Coordinates configuration management activities to ensure system integrity and alignment with University requirements.

  • Manages the execution of release activities with release lead.

  • Collaborates with stakeholders and service delivery COE to ensure prioritization and proper communication, training, and support during the deployment phase. Monitors the progress of release activities and addresses any issues or risks that arise.

  • Oversees incident and problem management processes for the Oracle Cloud ERP system. Coordinates with support teams to identify, prioritize, and resolve incidents and problems. Implements preventive measures and best practices to minimize the recurrence of incidents and problems.

  • Monitors the performance of the Oracle Cloud ERP system and identifies areas for improvement. Analyzes system metrics, identifies bottlenecks, and works with technical teams to optimize system performance and enhance user experience. Stays updated on industry best practices and new features within Oracle Cloud ERP to identify opportunities for system enhancements.

  • Provides support in maintaining the relationships with Oracle and other vendors to stay updated on the latest product releases, patches, and best practices. Coordinates with vendors for support and issue resolution, and leverages their expertise for system optimization and enhancement.

  • Maintains accurate documentation of release activities, configurations, system issues, and resolutions. Prepares regular reports on system performance, incidents, and releases to stakeholders, management, and other relevant parties.

  • Manages and coordinates resolutions on overall system defect queues.

  • Maintains effective communication channels with stakeholders throughout the operation and release management processes. Provides timely updates on system status, release progress, and incident resolutions. Collaborates with stakeholders to gather feedback and requirements for system improvements.

  • Provides management, leadership, and guidance to a team of configuration analysts and release management professionals. Fosters a collaborative and high-performing work environment, mentors team members, and provides opportunities for professional growth and development.

  • Collaborates and coordinates with ancillary systems.

  • Provides technical oversight and develops standards, guidelines, and processes for application systems.

  • Advises decisions on project and infrastructure needs, including the evaluation of server technologies, languages, platforms, and frameworks. Develops timelines and project plans for the team.

  • Manages employees by establishing annual performance goals, allocating resources, assessing annual performance, and determining individual merit, incentive and/or promotional increases.

  • Interprets University initiatives to create plans detailing the design, installation, modification, and operation of information systems.

  • Performs other related work as needed.

Education:

Minimum requirements include a college or university degree in related field.

Preferred Qualifications




Experience:



  • 5+ years of experience with Oracle Cloud ERP implementation or upgrades.

  • Leading an Oracle Cloud ERP implementation or upgrade.

  • Past Oracle development and/or architecture hands-on experience.

  • 5+ years experience working with senior level stakeholders.

  • Managing software release cycles, including planning, coordination, and execution of releases. Understand release management methodologies, change management principles, and configuration management processes.




Certifications:



  • Oracle Cloud.

  • Project Management Professional (PMP) Certification - Project Management Institute.

  • ERP or additional Oracle certifications.




Technical Skills or Knowledge:



  • Deep understanding of Oracle's ERP system, including its modules, functionalities, and best practices with an emphasis in financial modules.

  • Implementing, customizing, and optimizing Oracle ERP solutions.

  • Leading and managing ERP implementation projects including defining project scope, planning resources, coordinating with stakeholders, managing timelines and budgets, and ensuring successful deployment.

  • Proficiency in leveraging Oracle ERP reporting tools.

  • Strong understanding of Oracle ERP technical architecture including knowledge of the underlying database, server infrastructure, integration frameworks, security protocols, and system performance optimization.

  • Skilled in designing and implementing integration solutions using tools like Oracle Integration Cloud, Oracle SOA Suite, or Oracle Integration Bus.

  • Possess a deep understanding of Oracle Cloud ERP software, its modules, functionalities, and best practices as well as latest features, updates, and industry trends related to Oracle Cloud ERP.

  • Possess a solid technical background in ERP systems, cloud computing, databases, and integration technologies.

  • Strong project management skills, including planning, organizing, and executing complex projects. Create and manage project plans, track milestones, manage risks, and ensure on-time delivery of releases.

  • Strong problem-solving and analytical abilities to identify and resolve system issues, incidents, and problems. Possess a logical and structured approach to troubleshooting and decision-making.

  • Possess excellent communication and interpersonal skills to effectively collaborate with stakeholders, technical teams, vendors, and users. Convey complex technical concepts to non-technical stakeholders and manage expectations.

  • Strong leadership qualities to inspire and motivate teams. Provide guidance and mentorship to team members, foster a collaborative work culture, and resolve conflicts effectively.
