The Project Coordinator IV, you will play a critical role in providing project and program support to the Medical Science organization, specifically the Medical Education and Physician Relations functions. Your responsibilities encompass a wide range of tasks, including monitoring physician honorarium payments, reconciling physician expenses, meetings management, demo product support, ordering all necessary supplies for new hire onboarding, tracking accruals, and other key tasks necessary to support programs and initiatives in the organization.

A Day in the Life

Responsibilities may include the following and other duties may be assigned.

Leader Support:

• Support two directors as needed with booking travel, expense report reconciliation, and meeting scheduling

Meetings Management:

• Schedule Medical Education and Physician Relations team meetings, including onsite meeting room scheduling and all related logistics and support

• Schedule Physician Relations consultative event core team and debrief meetings

Physician Payments & Expenses (40%):

• Reconcile all physician expenses post Medical Education programs and Physician Relations event, staying within Medtronic's compliance guidelines

• Support Program Managers in ensuring physicians have received honorarium payments post program and other payment related follow-up as needed

Supplies & Products:

• Order supplies as needed including on-boarding items for new hires - laptops, phones, tablets, etc.

• Support Program Managers as needed with products, hands-on demo, and simulation needed to support Medical Education programs and Physician Relations consultative events

Other General Support:

• Act as the administrative lead for Med Review

• Manage the tracking of accruals on a monthly basis

• Distribute Medical Education Newsletter, support in updating as needed

• Serve as the administrative point for SharePoint

• Collaborate with other project coordinators/support personnel

Must Have: Minimum Requirements

• Minimum of 6 years relevant project and program support experience

• Strong attention to detail, accuracy, and organization

• Has a team-oriented, collaborative style and strong work ethic

• Ability to set priorities and resolve issues independently

• Excellent communication, time management, and multi-tasking skills

Nice to Have


  • Bachelor's Degree

• Excellent problem solving skills

  • Previous Medtronic experience
  • Proven experience with Microsoft Office Suite (Excel, Word, PowerPoint, Visio)
