Job Description:

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provide customer service in person, on the phone and via email; respond to questions, concerns and issues from customers and the general public; provide information to customers as appropriate; interpret, apply and explain policies and procedures related to assigned duties.
Perform outreach to encourage ridership on transit systems.
Provide office, clerical and administrative support to management personnel and other personnel in one or more departments as assigned.
Monitors online reservation system and electronic payment transactions (Square) for YARTS; including processing payments, reservation changes, refunds and transfers funds through PayPal. Produces monthly reports as needed.
Assists with reviewing onboard videos and documenting complaints and other incidents.
Plans, organizes and carries out administrative assignments; researches, complies and organizes information from various sources on specialized topics related to programs in assigned areas.
Regularly posts information, including agendas, reports, updates, announcements, service changes, and service delays on Facebook, YARTS website and other social media.
Track and issue commuter passes to agencies to be distributed to employees, students, etc.
Attends outreach events and monthly meetings with Betterez (reservation system).
Documents liquidated damages for monthly report and updates schedules on reservation system.
Type various drafts and finished documents from oral and written instructions; prepare and maintain records and reports related to assigned activities; prepare agenda materials; maintain a variety of files and records; gather data for reports as assigned.
Copy, format, proof, bind and file a variety of documents and correspondences; maintain office filing system and assist with organizing data and information related to assigned activities; prepare mailings for various projects as assigned.
Schedule and provide set-up for meetings as assigned; coordinates travel arrangements for department staff as necessary; serve as an assistant to various committees, commissions and boards as assigned; attend meetings as required; take and prepare minutes as assigned.
Assist with performing inventories of office supplies as assigned; schedule repairs for office equipment as needed.
Communicate with other departments and personnel, governmental and private agencies, outside organizations, customers and the general public to exchange information and resolve issues or concerns.
Operate a variety of office equipment including a laminator, copier, fax machine, computer and assigned software.
Perform related duties as assigned.


REQUIRED QUALIFICATIONS:

Education and Experience:

Any combination equivalent to: graduation from high school supplemented by college-level coursework and two (2) years of progressive clerical experience related to municipal government or a related field.

Licenses and other Requirements:

Valid California Class C driver's license.
Some incumbents in this classification may be required to be proficient in English and a designated second language and pass an oral and written proficiency test in a designated second language.

WORKING CONDITIONS:

Work Environment:

Indoor/Office environment, with occasional components of outdoor work related to events or activities.
Constant interruptions.
Driving a vehicle to conduct work.
Continuous contact with other staff; and regular contact with the public
