Position Description:

The construction/maintenance coordinators support maintenance and/or project leaders as requested for contractor coordination in the delivery of maintenance work and capital projects, with a focus on field activities including construction, maintenance and scheduling. Particular contributions include minimizing the impact on other Elanco operations, managing risks to corporation from activities, and optimizing the value received from contractors.

Basic Minimum Requirements:


  • High School Diploma/GED

  • 5 years construction experience

  • Basic computer skills/knowledge

  • Strong communication skills

  • Ability to read and understand technical drawings (Mechanical, Electrical, Civil)

  • Experience with managing documents

Functions, Duties, Tasks:

Managing, Planning and Scheduling Field Activities: 


  • Works with planners, operations, project leaders and contractors to preplan, schedule and document all field activities, which affect Elanco operations.


  • Examples include utility shutdowns, system tie-ins, personnel re-routing.


  • Hazardous activities (including Elanco-required permits), generation of noise, dust, or other emissions, material movements, and project/job logistics plans.


  • Makes certain project/job plan considers all Elanco rules and all regulatory requirements (e.g. FDA).


  • Proactively communicates all planned activities to potentially affected Elanco personnel including operations/end-users.


  • Actively communicates current status of these activities.


  • Arranges for temporary Elanco utilities, services, and workspace as required by the project/job plan.


  • Arranges occupant move-in to minimize downtime.


Managing Project/Job Cost:


  • Works with project leader, planners, operations and contractors to establish systems for monitoring project/job labor costs, for the receipt, storage, dispensing and verification of project materials, for proper project/job record keeping, field change notices, and for quality control and testing. 


  • Plans, schedules, and guides the activities of various trade contractors (only when separate prime contracts exist). 


  • Assures that the project designers and constructors are using best available information on existing site conditions. 


  • Communicates the status of field activities to the project leader, operations and others as necessary. 


  • Leads and/or actively participates in owner driven construction meetings.  Provides backup support during periods of project leader absence. 


  • Works with building occupants and maintainers to route requests for changes thru proper decision channels. 


  • Monitors the field impact of project/job information needs, and helps streamline any R.F.I. (requests for information) procedures. 


  • Proactively shares project information with project/job leader, operations and others involved, especially lessons learned which might be replicated.


Project/Job Scope Development:


  • Leads and/or actively participates in value-engineering, constructability, and commission ability reviews through the life of assigned projects/jobs. 


  • Provides recommendations to project leader or operations regarding contracting strategy and contractors to be utilized. 


  • Proactively develops project/job logistics plan.


Safety:


  • Actively works with and influences contractor to develop and implement an excellent project/job safety plan, including pre-qualification, drug testing, site orientation, kickoff meetings and use of required Elanco safety permits. 


  • Actively works with operations to ensure all safety aspects of work are coordinated and identified, including proper preparation and execution of permits. 


  • Verifies that all applicable portions of Elanco Contractor Health, Safety and Environmental Management Program are implemented, including local initiatives such as Behavior Based System (BBS). 


  • Assures that any Elanco created hazards are properly communicated to contractor supervision, including SDS information. 


  • Immediately stops any imminent dangers observed on the jobsite. 


  • Notifies proper contractor personnel of any potentially unsafe or noncompliant activities discovered on the jobsite. 


  • Accounts for contractors during any site emergencies.


Documentation:

  • Assures that project/job activities are documented appropriately. This can include photographs, project/job logs, IQ/OQ and other GMP documents and minutes from project meetings. 

Continuous Improvement:

  • Adjusts role of construction coordinator to better meet Elanco business needs, including providing data on field construction activities, redesigning delivery processes, improving supplier relationships, and actively participating in work unit goal setting.

Small Project Execution:

  • Occasionally manage all aspects of some assigned small projects including  identifying and development of projects, basic design and layouts, budgeting, scheduling and documentation to meet customer requirements.
