The Travel Coordinator is responsible for Scheduling, Tracking and coordinating business travel for the company. In addition, provides insight into travel industry best practices and make recommendations to optimize technology configuration and platform capabilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Process travel requests, make reservations, issue tickets and request exchanges for company employees
Book travel for employees for all business travel arrangements including airline tickets, rail tickets, hotels and rental cars.
Use the Certify expense processing tool to process claims in a timely and accurate manner.
Monitor the submission of claims, chasing untimely submissions and approvals as necessary and escalating as required
Utilize Certify’ s reporting tool to run and build ad hoc reports as required
Build and maintain good working relationships with other departments and personnel across the business and associates in the relevant Finance teams
Participate in the development of process and training materials, ensuring that they are in line with Certify and company policy
Audit expense reports to current policy
Receive, adjust and approve reports within Certify
Provide support to employees via email and phone
Communication with field employees
Maintain relationships with travel agents and vendors
Answer phones for the department and fill in for reception as needed
Other duties as assigned
MINIMUM QUALIFICATIONS AND EXPERIENCE:
A high school diploma or equivalent required
2-3 years’ experience required in a challenging office/administrative environment
Excellent written and verbal communication skills to be able to present ideas, concepts and proposals with a wide range of audiences at all levels both internal and external to the company
Ability to read, write and speak English proficiently
Ability to handle multiple tasks simultaneously in a fast-paced, deadline-driven environment
Ability to work independently and in a team-oriented environment
Above average proficiency with Microsoft Office applications; ability to learn customized computer programs
