The Senior Assistant Property Manager will manage daily property operations for two or more properties (550 units plus) following the business plans to maximize the value through generation of maximum NOI and effective expense control.
(These are the main duties/tasks of the position.)
Responsible for the daily financial operations including collections and expense payables, may include operations, leadership, and staff management of all assigned properties.
Support staff with specific coaching, development, and guidance in order that the annual property goals are met
Prepare weekly, monthly, quarterly financial updates/variances as required by General Manager/Property Manager.
·Ensure the property is well run and the team is constantly striving to improve property operations, curb appeal, revenues, and NOI.
Conduct all business following company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws about apartments
Demonstrate and ensure staff maintains professional levels of personal appearance, hygiene, courtesy, and telephone demeanor at all times while at work (if applicable)
Maintain correct resident records
Update daily all rents, other income charges, deposits and application fees received from residents
Issue proper notices when necessary (e.g., delinquent payments, eviction notices, returned check notifications)
Use of the Yardi System, Resident Letters & Notices is needed as well as the use of the Yardi System Email Notifications/Email Campaigns.
Collect and electronically process rental and other income checks
If necessary - an exception may be needed to manually process a payment by stamping for deposit only and making a prompt bank deposit (approval needed by GM and RM)
Manage Payments through the Resident Portal & WIPS Programs.
Actively pursue recovery of delinquent accounts and notice for evictions following state and local laws.
File evictions as necessary (or refer to attorneys); ensure property handling and scheduling of evictions and skipped units.
Process move-ins and move-outs.
Process Deposit Accounting per Berkshire Guidelines and within state and local laws. Ensure proper documentation goes with all former accounts.
Manager the Collections Interface for all former residents. Ensure proper notification of all accounts to former residents. Update collections database and resident files with current collections status.
Work with Property Accountants to ensure all accounts are balanced per the property Bank Reconciliation, research and correct, as necessary.
Enter and process Variance Reporting notes as assigned by General Manager/Property Manager.
Inspect move-outs and vacancies when requested by General Manager/Property Manager or Maintenance Supervisor.
Attend Resident Retention Activities as needed.
Understand, use and manage the computer receivables system in accordance with company policies and procedures
Update systems daily for correct reporting
Approve expenditures and process invoices as necessary to support property operations.
Stay knowledgeable on policies and procedures for processing payables.
Process commissions for leasing and renewals monthly.
Check Personal and Property email and TEAMS notifications promptly.
Follow required duties as listed on the monthly regional calendar
Understand Berkshire’s MATRIX and how it relates to property operations and performance
RUN Monthly Valence Docs Audit Reporting (if applicable)
Maintain computer hardware, software and supplies in accordance with IT and Training Department.
In conjunction with the General Manager/Property Manager the Senior Assistant Property Manager may aid in the formulation of the budget and other business plans for each upcoming calendar year
The Senior Assistant Property Manager handles ensuring their property stays within the established budget guidelines throughout the year while driving NOI to highest level allowed by market
Maximized collections by ensuring rent payments are collected and posted promptly, evictions are conducted when needed following applicable law, and that debt accounts are contacted and turned over as scheduled to collections
Authorize all adjustments to accounts, coordinate with Training Director
Maintain effective vendor relations while ensuring that vendors are insured and perform work at an acceptable level of quality according to law, contract, schedule, and budget (if applicable)
Approving and sending all invoices to the proper office for payment, requesting necessary authorizations and requesting payment consistent with established Accounts Payable policies and procedures (if applicable)
Review and sign off on all resident move-out documentation including final account statements
Drive financial performance of property through an understanding of how operational decisions impact financial results; understand the financial statement and all required financial reports, complete variance reports as assigned by General Manager/Property Manager.
Coordinate with maintenance, make ready team and contractor resources to ensure prompt and satisfactory recondition of apartments after move-out. (if applicable)
Communicates professionally and effectively with residents, subordinates, supervisors, vendors, and contractors
Negotiates effectively with residents, subordinates, supervisors, vendors, and contractors
Possesses excellent people skills and ability to deal effectively with persons from diverse social, economic, and ethnic backgrounds
Maintain positive customer service attitude and provide quality customer service to prospective and existing residents based on active assessment of customer desires, including acting on third party survey results and personal engagement with customer
Ensure that Maintenance team members conduct inspections with residents at move-in/move-out when applicable
Takes an initiative-taking approach to controlling turnover and maximizing resident retention. Closely checks causes of turnover
Maintain professional resident communications about concerns, service requests and other items of interest via property newsletters and other media.
Understands market area surrounding their property, including what the competition is and where property fits vis-à-vis the competition (currently and with any revitalization capital) and understands their property market area as to rental rates, concession programs, profiles, qualifying standards, and marketing strategies
Consult with General Manager/Property Manager and Marketing Director on advertising and promotions
Works closely with Leasing Consultant(s) and effectively uses revenue management software to perfect revenue
Maintain awareness of market/industry conditions and trends via trade publications, and professional organizations
Review rental applications and sign approval or rejection of prospects
Keep property safe by being initiative-taking in identification and correction of risk management issues
Oversees and ensures the adherence to all safety regulations and keeping a safe work environment
Ensures proper response and handling of all community emergencies with staff, residents, buildings, etc.; within company guidelines to minimize liabilities (i.e., criminal activity on community, employee/resident injuries, fires, floods, freezes, etc.)
Perform any added duties or tasks as assigned by the General Manager/Property Manager or Regional Manager
Acts proactively to ensure the currency of his/her knowledge in the areas of housing regulations and best practices in property management
Possesses a working knowledge of all financial aspects of apartment management, including bookkeeping and cost management, maintenance, marketing, and leasing, as well as laws about apartment management

The expected salary range for this California position is between $28.50 and $33.00. The actual compensation will be determined based on experience and other factors permitted by law.
