DESCRIPTION
The Michael Baker Chicago, IL Office is looking for an Office Services Manager to support overall administrative operations, support the Office Executive and management staff, and to provide project support services. A successful candidate will be a self-starter, able to work with limited or remote supervision, possess general proficiency with minimal requirements but also willing to learn and growth within the organization. Excellent communication skills and an ability to multi-task are essential.

Responsibilities include but are not limited to:


  • Overall support of the Chicago office staff on a variety of administrative and clerical tasks.
  • Schedules appointments and maintains calendars
  • Schedules and coordinates staff and client meetings
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities for meetings
  • Assists as necessary with editing, printing and assembly of reports or marketing/proposal submittals in Adobe or Microsoft Word
  • Compiles and analyzes basic information for inclusion in reports or presentation materials
  • Organizes and maintains file system and files correspondence and other records.
  • Assists with Chicago Office social media presence and eventually takes over and manages that duty.
  • Manages the front reception desk including answering phones and greeting visitors
  • Manages mail including USPS, UPS and FedEx
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Schedules conferences, events, lunches, etc.
  • Develops and updates administrative systems to make them more efficient
  • Other duties as assigned

QUALIFICATIONS

  • GED or High School diploma required.
  • 4+ years of related work experience.
  • This person must have a positive team-first attitude, working towards the common goal of keeping our office a great place to work, and addressing items needed to make that happen.
  • Excellent communication skills for internal associates and external clients.
  • Excellent English language skills, written and verbal, are essential to success in this role.
  • Prior experience in general office support to include organization, filing, maintenance of document library, etc.
  • Intermediate to advanced knowledge of Adobe Acrobat, and Microsoft Office, including Word, Excel, and PowerPoint.
  • Experience with Adobe InDesign a plus.

COMPENSATION
The approximate compensation range for this position is $63,326- $91,427 per year. This compensation range is a good faith estimate for the position at the time of posting. Actual compensation is dependent upon factors such as education, qualifications, experience, skillset, and physical work location.
