Job Summary

The Special Asset Department Administrative Officer is responsible for the timely administrative monitoring, reporting, and management support of problem loan credits and bank-owned assets assigned to the Special Assets Department.  Other duties for this position include a close focus on the acquisition, disposal, and reporting on all foreclosed properties that are Other Real Estate Owned (OREO), assisting in the review of loan work-out documentation, filing of supporting work-out and updated client information in workout files, loan portfolio doc preparation, processing of loan renewals, payments and pay-offs, and assisting the Special Assets Manager and Chief Credit Officer with quarterly Allowance for Loan and Lease Losses (ALLL) updates.

Key Responsibilities / Essential Functions


  • Disseminates loan documentation and information to bank attorneys on loans secured by real estate that will likely result in future foreclosure actions, including related lawsuit and deficiency filings and bankruptcy proceedings. 

  • Assists in reviewing demand letters prepared by bank attorneys and prepares foreclosure bids to be reviewed with the Special Assets Manager prior to any scheduled foreclosure date.

  • Accurately assembles, organizes, and updates OREO files and commercial credit workout files.

  • Reviews and processes vendor billings, including legal bill invoices, OREO vendor invoices, and the timely payment of property taxes and other municipal assessments when due.

  • Works with bank personnel to order ESA reports, surveys, and pre- and post-foreclosure property appraisal reports as required by bank policy.

  • Completes the acquisition and final resolution-disposal of OREO assets in a timely and efficient manner that maximizes the recovery of bank capital while minimizing the negative impact to bank earnings. 

  • Proactively lists, markets, and sells OREO property assets via negotiations with buyers, brokers, agents, and auction companies, which includes the review and execution of OREO sales contracts and related documentation.

  • Works with outside inspection-maintenance vendors to monitor and maintain the condition of OREO assets, including making needed repairs and addressing life-safety issues that may be identified from time to time.

  • Orders, reviews, and saves inspection reports and other related documentation in the respective OREO files.

  • Assists Special Assets Manager and Chief Credit Officer with preparation of quarterly

  • Maintain confidentiality and security of sensitive information

  • ALLL loan impairment testing in accordance with bank policies and procedures.  

Job Requirements:

Education:


  • Associate degree in business, finance, or legal profession required. 

Required:


  • 5+ years of experience in banking and/or legal.

  • In-depth knowledge of banking regulations, real estate law, foreclosure process, bankruptcy law, and special assets with a heavy concentration in commercial real estate and/or small business banking.

  • Ability to understand and use bank policies and procedures to ensure regulatory compliance and when an exception is required. 

  • Knowledge of legal concepts with an emphasis on commercial transactions.

  • Strong organizational skills, ability to prioritize tasks, and results oriented.

  • Strong attention to detail with high degree of accuracy.

  • Self-starter with ability to work independently with little or no supervision.

  • Strong interpersonal, written communication, and listening skills.

  • Proficient in Microsoft Office products.

Preferred:


  • Paralegal experience.
