PCAP-1 Research/Office Assistant at University of Oklahoma

Job Description:

As part of a three-year, grant-funded research project in the Enid, OK area, the Research/Office Assistant will perform administrative and programmatic tasks to aid PCAP-1 implementation in the designated service area, including providing clerical support to the PCAP-1 Project Director and Case Managers, managing day-to-day operations of the office, and interacting with community resource providers and PCAP-1 clients. Duties include:


  • Maintains office files that may be of a confidential nature.

  • Schedules various appointments for office personnel and ensures administrative details are completed.

  • Receives incoming calls for office personnel and refers to appropriate person. Records messages or responds to caller with routine information. Serves as a contact person for other employees or the outside public. Provides information regarding location or availability of materials, resources and services.

  • Responsible for typing correspondence, manuscripts, lectures, grant proposals, and medical information. Reviews and responds to routine correspondence for the office personnel.

  • Prepares various reports. Makes copies and assembles materials.

  • Opens, routes, and prepares incoming and outgoing mail. May run errands for the department.

  • Completes the required PCAP-1 training requirements following hire and other training as required or requested.

  • Updates and maintains community provider and resource database and conducts telephone and online research on an ongoing basis to locate additional resources.

  • Assists the PCAP-1 Case Managers with outreach to local service and treatment providers, agencies, organizations, and other community resources in the service area to build a network of support for PCAP-1 clients.

  • Performs administrative, clerical, and computing tasks using Microsoft 365 (Word, Excel, Access, Outlook, Teams, SharePoint), Unite Us (web-based case management system), Zoom, and REDCap, including but not limited to:

  • Enters collected data into REDCap and assists the PD and Supervisor with quality assurance tasks in REDCap

  • Maintains office supply inventory.

  • Creates, revises, and refines forms for internal office and programmatic use.

  • Enters information in and uploads forms to Unite Us.

  • Coordinates program data collection, including assisting with the PCAP-1 Project Director and with scheduling baseline and intake interviews and collecting appropriate paperwork from clients.

  • Provides support to PCAP-1 clients in the service area, including but not limited to:




    1. Transporting clients to/from PCAP office and important appointments

    2. Assisting with onsite client childcare



·    Performs other related duties as required.

 

Required Education: High School diploma or GED, AND: 


  • 12 months office, clerical or administrative support experience.

Skills:


  • Working knowledge of office procedures

  • General office and customer service skills

  • Working knowledge of Microsoft Office Suite (Outlook, Excel, and Word)

  • Excellent interpersonal skills

  • Ability to work independently and as a team player

  • Ability to complete tasks in an efficient and timely manner

  • Must be detail oriented for accuracy of data and information

  • Ability to multitask, be organized, and self-motivated

  • Ability to work in stressful situations

  • Ability to communicate verbally and in writing

  • Standard office environment.

Departmental Preferences:


  • Have a high school diploma and two years of relevant clerical experience, or equivalent education/experience.

  • Oklahoma State Driver’s license.

  • Must possess an understanding of the sensitive nature of the work and willingness to commit to protect client confidentiality.

  • Must pass a criminal background check.

  • Experience working with people with substance use disorders.

  • Experience working with protected health information.
