Job Description:

The Administrative Assistant will provide Admin support for a large legal client. The Lead will ensure the team provides outstanding service to client, while building strong customer relationships. They will focus on the team’s day-to-day work assignments and ensure they are following proper protocols and quality standards. They will be in charge of workflow distribution for the team.

RESPONSIBILITIES:


  • Oversee a team of 2 in day-to-day operations and ensure the team provides outstanding service to client.

  • Assist with legal administrative duties that include check requests, miscellaneous projects with document processing, managing time in Intapp software, and running reports from iManage

  • Support IT related request such as triaging IT Tech support requests and submitting requests for IT equipment

  • Schedule internal meeting facilities and reserve conference rooms

  • Work with mailroom support to prepare mailings: Fedex, UPS, and courier shipments

  • Assist with travel and transportation related items such as working with Travel Desk and arranging car services

  • Assist other teams with projects and special requests, prioritizing to meet deadlines

  • Other duties as assigned

JOB REQUIREMENTS:


  • High School Diploma or equivalent

  • At least 1 year of experience performing basic office and clerical duties. Law firm or professional service organization experience preferred

  • Must have basic knowledge of Microsoft Office

  • Professional demeanor and a strong work ethic

  • Exceptional interpersonal skills

  • Must be a self- starter who can demonstrate the ability to take ownership and works effectively as part of a team.

  • Strong written and verbal communication skills

  • Successful candidates must be fully vaccinated from COVID-19 as a condition of employment prior to the start date.
