Job Description:

POSITION SUMMARY: 

Self-Help is seeking a Project and Maintenance Supervisor to join our team at Avila, Center for Community Leadership in north Durham, NC. The Project and Maintenance Supervisor will oversee day to day operation needs and provide hands-on maintenance and building improvement project service support for Self-Help’s Avila property.  The Project and Maintenance Supervisor will be responsible for general maintenance as well as self-performing a variety of property improvement projects and will serve as the maintenance point of contact for our Avila property.  The Project and Maintenance Supervisor will also have supervisory responsibilities, including but not limited to helping develop annual property management budgets, overseeing maintenance and improvement projects, organizing property project volunteers and supervising third party contractors when needed. 

The 15,000+ square feet property includes multiple single-story buildings, including but not limited to guest cabins, conference rooms, kitchens, and offices.  The property sits on 30+ acres.  The Project and Maintenance Supervisor reports to the Director of Avila Programs and helps manage and plan their activities and property improvement plans. 

Below is a general description of the type of duties they may be responsible for.  Some variation may occur due to property needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

The Project and Maintenance Supervisor will be responsible for providing overall maintenance, performing property improvements, improvement projects, and managing supervisory responsibilities. Responsibilities may include:


  • Perform maintenance or troubleshooting of major building systems and perform routine maintenance on other building systems, including but not limited to lighting, plumbing, roof, mechanical, motors, doors/controlled access systems, general landscaping and exterior features.

  • Under the direction of the Director of Avila Programs, assist with the preparation of scope, budget, and planning for project improvements to be self-performed. 

  • Manage and document actions taken and completion of tasks with Director of Avila Programs, Event Coordinator, and in the work order request system.

  • Perform and manage weekly building inspections and preventive maintenance checklist. Interface directly with visitors, staff, outside vendors and contractors. 

  • Monitor HVAC energy management and controls systems where applicable, revise schedules and adjust settings as may be necessary.

  • Support the Event Coordinator on set-up and tear-down of event decor, which will include regular night and weekend events.

  • On-call responsibility on an alternating schedule with other staff.

  • Manage and assist with property project management for Avila including the development of maintenance and improvement annual plans. 

  • Participate in the development of annual budgets, including operating expenses and capital

    improvements, when assigned.

  • For day-to-day projects, manage the purchase of needed materials and/or equipment to execute maintenance and project related tasks.

  • For larger projects, under the direction of the Director of Avila Programs, assist with the preparation of scope, bidding, and supervision of contracts with third parties.

  • Manage, develop, and assess the completion of work from third party vendors.

  •  Supervision of all service agreements, selected contractors and suppliers, provide quality-control oversight, and measure compliance to contractual standards.

  •  Serve as first point of contact for all on-call facility/building needs and determine the best course of action to address.

  • Organize and coordinate with teammates 2-3 annual volunteer workdays at Avila.

  • Liaise with Self-Help’s Real Estate facilities staff on capital projects and mechanical systems preventative maintenance and repair needs as they arise.

  • Manage and maintain accurate and current building records, including bid documents, contracts, and

    O&M manuals, and assist Director of Avila Programs with maintaining Vendor files and records in the facilities management system.

  • Manage vendor, contractor and stewardship volunteer relationships.

  • Ensure compliance with state, national and local policies and procedures, such as insurance, legal, health and safety requirements.

  • Support Self-Help’s environmental sustainability initiatives and goal to make Avila carbon neutral.

  •  Act as a change agent to drive Self-Help’s economic inclusion initiatives by integrating supplier diversity and the use of businesses owned by women and people of color in third-party contracting and vendor management for relevant products and services.

  • Perform other duties as may be deemed necessary.

MINIMUM QUALIFICATIONS AND REQUIREMENTS



  •  High School diploma or equivalent related experience.

  •  Minimum seven years prior construction experience including experience working on multiple projects simultaneously, managing self-performing construction projects and managing contractors.

  • Strong skills and experience with electrical, plumbing, HVAC systems, and general maintenance required.  A license in a major trade is desired but not required.

  • Good verbal and communication skills.

  • Ability to effectively manage and prioritize time and work.

  • Capable of working independently with little supervision.

  •  Ability and willingness to handle after-hours and weekend events and occasional on-call duties and availability during times of inclement weather or other challenging situations requiring maintenance to be on-site.

  • Valid NC driver’s license.

  •  Ability to travel to other properties as needed.

  •  Working knowledge of preventive maintenance contracts and other service agreements for 3rd party services.

  •  Familiarity with work order systems, particularly Yardi (Elevate) systems is a plus but not required.
