Job Description:

Planned Parenthood of Orange and San Bernardino Counties has a full-time opportunity for a Lead Administrative Medical Assistant in Mission Viejo, CA.

Administrative position responsible for all duties and responsibilities assigned to front office staff. Responsibilities include greeting and checking-in patients, preparing paperwork, scanning paperwork, determining payer source, collection of fees/receipts and donations, collection of IDs, phone answering, and scheduling. Must provide excellent customer service in a non-judgmental, empathetic manner.

 

Provides training, acceptance, encouragement and moral support to new incoming Administrative Medical Assistants. Conducts shadowing and evaluation for new and existing Administrative Medical Assistants. Assists health center management to facilitate patient flow and coordinates flow facilitation in absence of health center management. Supports rollouts of new policies, processes, and procedures in the health center. In partnership with health center management, disseminated information to the Administrative Medical Assistants.

Responsibilities

Essential Functions:

Essential functions encompass the required tasks, duties and responsibilities performed as part of the job and the reason the job exists.


  • Adhere to agency’s policies, procedures and protocols. This may include successfully completing agency, regional and/or state certification requirements.

  • Adhere to affiliate goals and policies on professionalism, Coordinate and manage the health center patient flow in the absence of management.

  • Participate in health center efforts to achieve established health center productivity goals.

  • Participate in health center/affiliate efforts to achieve established revenue cycle goals.

  • Manages a fair workload, develops good work procedures, manages time well, handles information flow and prioritizes tasks.

  • Is attentive to detail and accuracy, is committed to excellence, looks for improvements continuously, monitors quality levels, finds root cause of quality problems, owns/acts on quality problems.

  • Perform the following functions:

    • Greet patients, answer phones, transfer calls, schedule appointments.

    • Prepare charts, check for completeness, errors, signatures and appropriate assembly.

    • Input and update computer patient data information accurately.

    • Maintain patient records.

    • Assess client finances, which may include verifying insurance, health plan authorization, Medi-Cal cards with picture ID, collecting fees per agency guidelines, complete appropriate forms and obtain signatures per agency policy.

    • Ask all patients in their interest in contributing to the Community Action Fund.

    • Complete related financial/statistical paperwork for clients.

    • Assist in monitoring health center flow in conjunction with the usage of the wait time board.

    • Provide patients with fact sheets regarding their services as requested by Clinical staff.

    • Assist patients with informing and enrolling in the patient portal.

    • Assist patients in switching their primary care provider to Melody as requested by patient.

    • Schedule appointments for family planning including but not limited to contraceptives and abortion services.



  • Work to ensure patient satisfaction. Establish rapport with patients, remaining cognizant of and responsive to their needs for medical and educational care delivered in a professional, expedient manner.

  • Greet and monitor any guests entering the health center.

  • Inform the appropriate staff of any deliveries to the health center.

  • Appropriately log all opening and end of day money collected. Assist in preparing deposit for weekly pick-up.

  • Administrative Duties: Complete and maintain weekly progress assessment, performance checklist and other documentation use for training staff.

    • Periodic check-ins with Training Department.

    • Attend and participate in all webinars.

    • Contribute to new Administrative Medical Assistants’ orientation review.

    • Assist with rollouts of new policies and procedures related to Administrative Medical Assistant functions.

    • Track, collect, and/or report completing of privileging documentation for new Administrative Medical Assistants to Patient Services Admin.



  • Instruct:

    • Trains, shadows, and/or evaluates new and existing Administrative Medical Assistants for all services within their health center in partnership with the Patient Services training team.

    • Evaluate and documents learner performance and comprehension of course materials (i.e. learning plans).

    • Identifies learning obstacles and work with Health Center Management to develop an action plan for resolution.

    • Serves as a resource and subject matter expert in their health center as an Administrative Medical Assistant for all services within their health center.

    • Ensure staff is aware of changes and weekly updates that impact the Administrative Medical Assistants.

    • Assist during the Patient Services Annual Training’s Administrative Medical Assistant session.



  • Peer coaching:

    • Provide feedback for the 3-month review to health center management.

    • Acts as an experienced role model.

    • Provides acceptance, encouragement, and moral support.

    • Passes on their wisdom and knowledge and collaboration skills.

    • Effective communication skills.



  • Perform clerical and administrative duties, as required by management.

Minimum Education:


  • High school diploma or other education plus experience required.

Minimum Work Experience:


  • Minimum of 1-year experience with PPOSBC preferred.

Other Requirements:


  • Must be in good standing with the organization and not have any written corrective actions or performance coaching in the last 6 months.

Agency Standard Requirements:


  • Strong commitment to quality healthcare and excellent customer service is required.

  • Must thrive in a fast paced, rigorous environment with changing priorities.

  • Ability to meet deadlines and work under pressure.

  • Must demonstrate high level computer skills including; Microsoft Word, Excel and Outlook. Electronic medical records experience may also be required.

  • This position requires travel to other sites and locations; if using a personal vehicle to meet this requirement, a valid CA driver’s license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.

This position requires bilingual Spanish skills (reading, writing, and speaking). Qualified candidates will be tested for proficiency prior to offer.




Salary: $49,200.00
