Project Coordinator, Biomedical Engineering

The Project Coordinator, reporting to the Department Chair of Biomedical Engineering (BME), provides support to the Department Chair as well as faculty and staff with sponsored research accounts and grant applications, working in coordination with the SES Finance team, the Office of Sponsored Programs, and the Office of Sponsored Accounting. The Project Coordinator will also assist the Department Chair on various department operations and communication assignments.

Essential Duties and Responsibilities


  • Manage BME research accounts in coordination with faculty, and the Offices of Sponsored Programs and Sponsored Accounting, including but not limited to:

    • Assisting faculty with research budgets for various sponsored accounts

    • Understanding research budget development, and initiating post-award modification by requesting on behalf of the PI in compliance with the university and sponsor requirements

    • Process payroll requests, including RAs, and student assistantships for BME research accounts and monitor project financials including purchase orders, processing invoices, and submitting expense reports.



  • Manage BME faculty start up accounts, in coordination with the SES Finance team

  • Assist BME faculty in grant application or progress report preparations, including but not limited to:

    • Engaging in communication with the Office of Sponsored Programs by being the liaison between the PI and OSP

    • Developing and maintaining a strong working knowledge of federal rules and regulation that govern research grants



  • Assist the Department Chair with various department operations and communications assignment, including but not limited to:

    • Assisting the Department Chair with new initiatives presented, including those from the Dean or Provost

    • Working with the Department Chair and faculty to develop content in support of various communication initiatives including department newsletter, research and annual reports, website, and social media



  • Assist with human resource needs (related to research personnel), including the creation of requisitions in Workday, printing candidate résumés and coordinating interviews for post-doctoral, research assistant, and student positions.

  • Collaborate with other academic and administrative units on relevant matters and external constituents, as needed.

  • Provide backup support to the BME Senior Administrative Assistant

  • Other duties, as required

Qualifications


  • Bachelor's degree, or an equivalent administrative professional experience.

  • Minimum of 2 years’ experience in higher education or other industry experience.

  • Ability to produce high-quality work on deadline while managing multiple projects, priorities, and deadlines.

  • Expertise in Microsoft Office - Outlook, Excel, Word, and PowerPoint and other document management tools including OneDrive, SharePoint, and other solutions.

  • Strong computer proficiency and the ability to quickly learn and assimilate new systems and information.

  • Excellent attention to detail and exceptional follow-up and follow-through skills.

  • Ability to plan, organize and coordinate large and small multiple projects through to completion.

  • Ability to work independently as well as cooperatively in a team environment. Must have project management experience, and excellent oral, and written communication skills.
