Job Description:

Culligan of San Diego is currently seeking  a great candidate to manage our office.  We have a dynamic team and we are looking for an Office Manager who will represent our brand and help create lifetime customers. The ideal candidate will be professional with a positive attitude who knows how to motivate the team to get the job done!


The Office Manager is the perfect position for someone that has experience dealing with field staff in the service industry.  If you have Office Management experience, and you pride yourself on being able to multitask and complete projects on time with ease, this is the career for you!


The salary range for this position starts at $60K annually with the possibility to negotiate higher, depending on experience. There is also a bonus on top of the base salary.

Responsibilities



  • Reconcile commission sheets and oversee entire payroll process for the dealership

  • Answer questions and assist our very important customers in the office as well as over the telephone

  • Data entry to maintain customer records by updating account information the database

  • Resolve any escalated product or service related issues; follow up with the customer to ensure optimal customer satisfaction has been achieved

  • Maintain financial accounts by taking payments and/or processing customer adjustments when necessary

  • Account collection activities (remind customers about past due accounts, work with customer AP departments to bring account into current standing)

  • Regulatory reporting procedures (customer and month end reporting, etc...)

  • Work closely with our route drivers and field service technicians to achieve optimal customer satisfaction

  • Office supply inventory management and control, including tracking inventory levels, placing routine and special orders with vendors and resolving any related discrepancies

  • Accounts payable / coding of vendor invoices 

  • Coordinate and manage special projects as needed


 


Qualifications



  • Team management experience preferred (experience interviewing, hiring, & training)

  • Outstanding organizational skills

  • Ability to prioritize tasks in a fast-paced fun environment


  • Customer Service background with some sales experience

  • Strong work ethic (honesty and integrity are key for this position and to our organization)

  • Excellent communication skills including helpfulness and patience in dealing with fellow employees and external customers / contacts / vendors

  • Multi-line phone skills

  • Billing and account maintenance, and account collections experience preferred

  • Experience maintaining files and Excel reports

  • Cash and bank deposit maintenance

  • Good sense of humor with a positive attitude and team spirit

  • Exceptional problem-solving skills with the ability to work independently

  • Proficient with Microsoft Excel, Outlook and Word
