Job Description:

We are actively seeking a Proposal Coordinator, this candidate will have amazing communication skills which will allow them to communicate clearly and concisely across many departments. The Proposal Coordinator for WeldFit is responsible for proposal development, estimate coordination, and initial purchase order administration for WeldFit's Pigging and Performance Products businesses. Responsible for internal and external client communications during inquiry phase, technical and commercial proposals, and working with outside sales representatives, as required, to the point of order close. Review purchase orders, correct outstanding issues, verify exceptions and clarifications, and follow through and acknowledge changes with customer through timely communication. Work well within a team atmosphere and contribute accordingly. Work in a respectful and professional manner with fellow employees, management and clients.

Responsibility:


  • Responsible for internal and external client communication, both technical and commercial, during inquiry phase to clarify bid strategy, scope and offering.

  • Initiate, update, and ensure quotation data is added to CRM (log communication and correspondence).

  • Receive inquiries and review with Engineering, as necessary, for design approach.

  • Coordinate with Manufacturing and Project Management resources to determine delivery timeline for proposal.

  • Work with estimator(s) to ensure preparation of comprehensive labor and material estimate.

  • Prepare proposal document and ensure technical and commercial accuracy.

  • Coordinate Management review, when necessary, of estimate and proposal.

  • Clarify quotation items and answer all client questions.

  • Review Purchase Order to ensure accuracy of both commercial and technical terms.

  • Enter orders into the ERP system immediately after completion of technical and commercial review.

  • Participate in project handoff meetings after receipt of purchase order & discuss proposal and estimate in detail.

  • Ensure placement of all relevant inquiry-phase correspondence in the correct Quotation and Job folders in a timely, responsible manner.

  • Ensure completion of proposals on time to meet deadlines.

Education/ Experience:


  • Bachelors degree in Marketing, Business or a related field

  • Three years prior experience in a similar role

  • Prior experience with proposal development in the oil & gas industry is a plus
