Reporting to the Assistant Vice President for Enrollment Management, the Associate Director of Summer Programs is charged with overseeing the Colleges annual camps. This position is responsible for promoting to students and their families already in our prospect pool in addition to cultivating new, diverse prospects in targeted regions. The individual in this role will also collaborate with various people and offices on campus including Academic Affairs, Events Management, and Student Life to ensure successful planning, outreach, and execution of all camps. This is a grant-funded position.
Primary Duties and Responsibilities:

  • Work with faculty to plan and execute Earlham Summer, a comprehensive summer program for high school students.

  • Secure undergraduate faculty participation for discipline-based curricular programming and Graduate Program in Education for cocurricular components of Earlham Summer.

  • Works with Facilities, Dining Services, Student Life, Events Management and others to ensure campus is prepared to offer a superior experience to camp attendees.

  • Recruit, train and supervise graduate and undergraduate student RAs and program assistants.

  • Collaborate with Marketing and Communications and the AVP for Enrollment Management to develop and execute a comprehensive marketing and recruitment plan, to include, but not be limited to, attending expos, fairs, and other events deemed appropriate; developing a web presence, online advertising, print promotional materials; and on the deployment of segmented communication flows targeting Indiana students as well as students in key recruiting markets.

  • Coordinates space reservation with the Office of Events Management and through Earlhams online events and space management system.

  • Manages program financials, including tracking payment of attendee fees, processing vendor invoices, and processing payment to faculty, staff, and students.

  • Ensures that all events comply with all college and grant policies and procedures, including the Safety of Minors and Abuse Reporting Policy.

  • Manage relationships with community partners, including community-based organizations as well as teachers and administrators in public schools.

  • Work with the Graduate Programs in Education and the Office of Institutional Effectiveness to design and execute program assessments.

  • Leverages our CRM, Slate, to follow up with camp prospects and their families via phone calls, emails, text messages, and mailings throughout the year.

  • Collaborate with the Office of Advancement to produce regular grant reports.

  • Performs other duties as assigned.


Qualifications and Experience:

  • A bachelors degree is required.

  • Minimum of five years of experience in admission, marketing, event promotion, camps, and/or other areas involving the recruitment of high school students.

  • Strong organizational skills and attention to detail, excellent written and verbal communication and presentation skills; outstanding listener with great interpersonal skills.

  • Experience managing grant, program or department budgets.

  • Ability to use complex software for marketing and recruitment. Experience with Slate or comparable CRM is preferred.

  • Passion for working with high school students and their families.

  • Travel as well as evening and weekend responsibilities are expected.
