We are currently seeking an Office Assistant in our Chicago, IL location. This individual will be responsible for coordinating the day to day administrative tasks for the office. This includes managing all visitors to the office, accepting / shipping packages, general office functions, managing kitchen and office supply needs, facility and conference room management, ordering office lunches for meetings. The successful candidate must be able to prioritize work, work independently, provide excellent customer service and help to foster a team atmosphere in a professional, fast-paced environment.

Responsibilities


  • Serve as point of contact for day-to-day facility needs including:

  • Conference room management including reservations and developing a good working knowledge of the video conference/AV equipment to assist/train others when needed

  • Ensure facility and office equipment are in good working order at all times, scheduling maintenance as needed

  • Premises access security administrator, coordinating with the building for base-building badge assignment/ administration of our internal office security system

  • After-hours HVAC requests

  • Visitor coordination, greet and provide hospitable assistance

  • Chicago personnel list maintenance and monthly distribution/or as changes occur

  • IT service needs; network/internet and cable central point of contact with internal Helpdesk/external service provider (as directed)

  • Coordination with vendors for office services as needed

  • Work in conjunction with Receptionist to provide reception desk coverage

  • Work as a team with Receptionist to ensure reception desk is always covered

  • Provide reception desk coverage during Receptionist lunch daily

  • Coordinate with Receptionist to ensure sick day and vacation coverage at reception desk

  • Purchase and maintain inventory of office supplies including: coffee, kitchen, vending, printing, signage, tools and materials as well as supporting the process for review and payment of assorted vendor invoices

  • Provide general office support

  • General tasks, as needed, including faxing, copying/scanning, printing/binding.

  • Daily kitchen upkeep and weekly refrigerator clean-out

  • Food catering for meetings/events, including coordination set up/clean up

  • Daily upkeep of copy and printer areas throughout office

  • Process incoming and outgoing domestic and international mail and packages;

  • Liase with building mail room for outgoing packages to USPS/FedEx

  • Coordination of outgoing courier packages

  • New hire set up

  • Add new hire to any printer/scanner contact lists

  • Coordination of security badge

  • Creation of mail folder/tray

Requirements

  • Ability to effectively interact with clients and employees

  • Excellent verbal and written communication skills

  • Excellent computer and calendaring skills, including a working knowledge of Microsoft Office Outlook, Word, Excel and PowerPoint

  • Organized and detail orientated with excellent follow-through skills

  • Strong problem-solving skills

  • Self-motivated and a great team player
