MINIMUM PAY RATE: $44,327.08 Annually

POSITION SUMMARY

Accountable to the Bookstore Manager, Auxiliary Services, for coordinating the operations within the Bookstore through planning, supervision, implementation, and development of Bookstore retail operations. Maintains all course materials adoptions, procurement of course/ancillary materials, and plans book buyback. Oversees operation of store when the Bookstore Manager is unavailable.





ESSENTIAL JOB DUTIES AND KEY RESPONSIBILITIES

1. Collaborate with faculty for mutual accountability; working together with a willingness to take ownership, advocate for continual improvement, identify opportunities for improvement, and facilitate exceptional customer service for both faculty and students alike. Provide exemplary customer service by anticipating the needs of stakeholders and creating a welcoming, diverse, and inclusive environment.
2. Plan and coordinate the course materials department, research/enter/edit information on course materials adoptions, quantities to order, and place orders. Notify faculty of potential problems that may affect availability of course materials. Review enrollment reports as needed to ensure adequate stock availability.
3. Support course materials affordability initiatives and work with campus staff on trends (i.e. OER and Digital Access) ensuring continued bookstore relationships and support. Coordinate, prepare, and manage digital course materials, including immediate digital access and e-book catalogue, and process invoices, commissions, and all related reporting and communications.
4. Coordinate/prepare rental titles, process chargebacks, post lost titles, prepare shipments, and process bill-backs. Prepare all related reporting, including use-tax figures.
5. Coordinate/prepare book buyback lists for daily buyback. Determine prices and quantities to be accepted for buyback. Prepare monies for buyback, balance records and prepare final report for wholesaler and college.
6. Maintain vendor relationships to resolve shortages, defectives, maintaining appropriate inventory levels, etc. Coordinate purchasing and return of overstock/obsolete textbooks.
7. Responsible for physical layout/stocking of course materials department and ware-housing of overstock. Assist with shipping and receiving, maintain stock levels in store. Responsible for physical condition of store, offices, receiving areas.
8. Create store product records in BookLog POS system for new merchandise. Create purchase orders and order with vendors when necessary. Receive stock and enter into POS system. Troubleshoot database errors & contact course materials management software vendors for resolution when necessary. Maintain faculty users of the current adoption software.
9. Maintain and coordinate special and mail orders.
10. Supervise bookstore operation and complete required reporting in absence of the Bookstore Manager.
11. Under the direction of Bookstore Manager, schedule and delegate work to all staff working on shift(s) including scheduling/coverage of lunch/breaks.
12. Assist with training bookstore employees on register procedures, buyback, refund/exchanges, financial aid/job training procedures, special and mail order, stock returns/liquidation, and troubleshooting course materials service incidents.
13. Open store, prepare money/cash registers for daily operations, run morning reports, and ensure that staff are at their assigned post. At closing, clear registers, secure monies in safe, prepare end of day reports, secure store, stockrooms, and receiving area.
14. Assist with applicant resume review, interview of applicants.
15. Work with the appropriate departments and staff to develop ads, sales flyers, store notices. Update Bookstore webpage(s) with current information and promotions.
16. Receive and direct visitors, answer telephones, handle inquiries, complaints, sales, financial aid/job training grants/scholarships, refunds, buyback and other customer service functions.
17. Assist at all campuses as needed

MINIMUM QUALIFICATIONS

1. Excellent Customer Service skills.
2. Associate's degree or equivalent education in business or related field.
3. Strong personal computer and technology skills and knowledge of Microsoft Office suite and ability to utilize a variety of software.
4. Four (4) years of retail experience with some retail purchasing experience.
5. Two (2) years supervisory experience.
6. Attentiveness to detail, excellent organizational skills, initiative, and the ability to perform multiple tasks simultaneously.
7. Ability to work effectively with a diverse population; courteous, dependable, and personable.
8. Ability to negotiate and influence others.
9. Effective verbal and written communication skills.
10. Must be available to work required weeks during rush periods and evenings and weekends.
11. Ability to establish and maintain cooperative and effective working relationships with other members of the college and community, displaying cultural competence as well as emotional intelligence.

PREFERRED QUALIFICATIONS

1. Bachelor's degree in business or related field.
2. Textbook management experience in an educational environment.
3. Proficiency with Microsoft Office software programs including Outlook and Excel.
4. English and Spanish verbal and written communication proficiency.
5. Demonstrated multicultural competence.





PHYSICAL DEMANDS
1. Normal retail office physical demands.
2. Ability to lift, stack and maneuver objects with a minimum weight of 25 lbs.
3. Ability to travel between campus locations.





WORKING CONDITIONS

1. Duties are performed indoors in the usual office environment.
2. Duties performed in a warehouse setting as well as shipping/receiving dock area.




Internal candidates must adhere to the terms of employment regarding length of time in current position as outlined in their union contract.
