Job Summary



The Building Facilities Manager manages procurement of products and services from external vendors in support of managing the building and facilities of Interval International's Sunset and Kendall office locations. In addition, the incumbent is responsible for complex administrative and analytical work related to the budgetary and financial activities. Work involves detailed clerical and oftentimes related to the collection of financial data and the preparation of reports. Manages office operational systems and equipment via in-house or contracted vendor services.



Expected Contributions



  • Processes invoices for payment, files invoices, and processes credits via PeopleSoft Finance in a timely manner.



  • Prepares and secures approvals and submits monthly accruals to the Finance Department.

  • Processes and performs data entry for yearly budget preparation for the department. Assists with the department's budget by keeping spreadsheets updated with monthly expenses and by preparing reports as needed.

  • Monitors budget transactions to identify potential problems.

  • Reviews operating budgets to analyze trends affecting budget needs.

  • Works within departmental building operating budget prepared by the Senior Manager, Corporate Office.

  • Manages new office equipment vendor services such as copiers, printers, etc. Acts as vendors' main point of contact on behalf of Interval International and keeps track of service calls, weekly meter reads, and maintains a positive working relationship with vendors and contractors.

  • Manages food service supply purchases and inventory, e.g., coffee supplies, paper goods, and cutlery, and distributes supplies to locations as needed.



  • Administers the parking function for the Corporate office and the Call Center locations; assigns spaces, issues temporary passes, and assures compliance with established standards.



  • Administers and coordinates janitorial services within the Corporate premises.

  • Conducts daily inspections of the Corporate premises to ensure that they are maintained in a professional manner, addresses/corrects any deficient conditions. Promptly communicates findings and recommendations to address deficiencies to Sr. Manager.

  • Assures compliance with health, safety, municipal codes, and Corporate insurance standards and regulations and keeps accurate documentation.

  • Coordinates and supports delivery of special events, meetings.


Education



•Associate degree in Accounting or Business Management or any related field or equivalent work experience.



Experience



  • At least three years of progressive experience managing commercial building facilities with emphasis in Accounting.


Knowledge, Skills, and Abilities



  • Possess at least an intermediate level of competence using PeopleSoft Finance.

  • Knowledge of computer software, including Microsoft Office (Word, Excel, PowerPoint), Outlook.

  • Knowledge of generally accepted accounting principles and budgeting practices.

  • Ability to create advanced Excel spreadsheets.

  • Ability to be self-directed and able to perform job functions with minimal supervision to complete assigned tasks within established guidelines.

  • Ability to multi-task and meet deadlines.

  • Must be able to handle multiple priorities.

  • Proven ability to work effectively and professionally with associates at all levels of the Company and demonstrate effective internal customer service skills.

  • Proven ability to represent the Company professionally, interact with vendors in a positive and assertive manner, and ensure that the best interests of the Company are maintained.

  • Proven ability to be detail oriented and possess good organizational skills.

  • Must have a valid Florida Driver's license and a good driving record.

  • Bilingual in English and Spanish preferred.
