Job Description:

Under general supervision, assists in the delivery of patient care/treatment and provides clerical and administrative support. Works collaboratively with the Physician, Non-Physician Provider, RN, LPN, and other departmental personnel to meet the physical, psychosocial, educational, and spiritual needs of the patient and family.


Essential Job Functions


• Supports and models behaviors consistent with Billings Clinic's mission, vision, values, code of business conduct and service expectations. Meets all mandatory organizational and departmental requirements.
• Maintains competency in all organizational, departmental and outside agency standards as it relates to the environment, employee, patient safety or job performance.
• Prepares room, equipment and supplies as dictated by a particular examination, patient's needs, and Billings Clinic exam and procedure room cleaning guidelines.
• Assists with scheduling admissions, appointments, diagnostic tests, treatments, procedures, and surgery. May assist with registration and/or collection of co-pays.
• Screens incoming telephone calls for appropriate referrals to nurse, physician and/or non-physician provider.
• Orders and maintains clinical and office supplies and equipment as directed.
• Maintains patient files, records and other information. Adheres to confidentiality requirements.
• Compiles statistical data for reports as directed.
• Attends required meetings and participates in committees as requested.
• Receives and prepares patient for examination and treatment as directed. Obtains and records history and vital signs. May assist in preparing for minor procedures and physical exams. Charts and documents in medical record. Procedures

• Administers medications same as previous levels specific to department grid and guidelines and additional injections as indicated on department specific grid. (Patient Care; Patient Care, Injections)

• Participates in maintaining and/or building training modules using evidence based best practice for medical assistants
• Assisting with process improvements as related to the clinical setting.
• Proficient in basic patient care and treatment, planning and evaluating according to job description and MA level
• Competent to perform routine, non-complex aspects of patient care, treatments and procedures
• Safe pharmaceutical handling requirements and guidelines
• Application of personal protective equipment (PPE) for patient and staff safety
• Computer applications
• Refer to Department Grid specific to Level I
• Analytical skills necessary to understand a variety of basic and/or routine problem scenarios associated with patient care
• Refers more difficult problems to higher level medical assistant, nurse, supervisor or appropriate health care provider
• Practices according to Billings Clinic MA job description, guidelines and physician judgment
• Work is performed under the direct supervision of a physician
• Work is performed independently in accordance with assigned schedules and operating procedures
• Assumes responsibility for the follow-up of problem scenarios and coordinates appropriately with other MA, LPN, RN, physician and/or non-physician providerCollects laboratory specimens as needed.
• Cleans and disinfects equipment per Billings Clinic sterile processing guidelines.
• Administers influenza vaccine, pneumococcal vaccines, and Td/TDAP to patients age 18 or older.
• Provides instruction to patients as directed by physician, non-physician provider or documented in policies and procedures.
• Performs all other duties as assigned or as needed to meet the needs of the department/organization.
• Additional Essential Functions for Level II and III - Refer to Department Grid
• Assists physicians and non-physician providers in preparing for minor procedures and physical exams.
• Performs minor procedures to include but not limited to stitch and staple removal, application of dressings, ear lavage, splints and casts, etc.
• Administers medications and immunizations according to department approved grid and guidelines; once department requirements and required training have been met.
• Additional Essential Functions for Level III - Refer to Department Grid
• Administers medications and immunizations according to department approved grid and guidelines, which may include pediatric patients; once department requirements have been met.
• Required to assist in 3 medical assistant training events per year (could be less if organizational needs change and also depends on amount of medical assistants in department).*
• Required to precept with a minimum of 5 externs per year (could be less if organizational needs change and also depends on amount of medical assistants in department).*
• May perform advanced skills for department if all training has been completed and competency achieved (please refer to department specific grid).
• Point of Care Testing Trainer or Specialized Training specific to department; i.e. Wound Vac, Vein
• Expected to prioritize all aspects of job performance
• Demonstrates personal accountability in all facets of role responsibilities
• Interpersonal skills which enable the incumbent to appropriately respond to a variety of patient/family requests and inquiries, to respond to inquiries from physicians, nursing staff and other health care providers, and to check for understanding, allay apprehension and enlist cooperation of the patient
• Ability to utilize and apply PSE skills
• Service Recovery
• Communication with patient on expectations, e.g. being late for scheduled appointment, wait times
• Able to assist with patient service assistance needs as necessary and provide service recovery, e.g. coffee cards, lunch, gas cards
• Work with leadership on service recovery as needed
• Medical Terminology (available through LMS)
• Process Improvement / Quality Assurance /Risk Management
• Adheres to patient safety goals and standards
• Participates in Process Improvement or Risk related activities within the department
• Participates in the financial viability of Billings Clinic by ensuring appropriate ensuring appropriate utilization of supplies and equipment and maximizing the flow of patients to maximize effective utilization of the physician's/non-physician provider's time
• On-Call Responsibility
• Basic laboratory specimen handling and processing (urinalysis, blood sugars, etc.)
• Safe pharmaceutical handling requirements and guidelines
• Demonstrate phlebotomy skills if relevant to area. Cross-trained to assist physician and/or non-physician provider with procedures
• Administer Level I approved medications after completion of appropriate pharmaceutical courses, along with Billings Clinic injection class for Influenza, Pneumococcal, Td/TDAP
Minimum Qualifications for Medical Assistant
Education
• High school diploma or equivalent
Other Minimum Qualifications
• Six (6) months related work experience in a health care environment required to develop proficiency in basic Medical Assistant procedures and processes encompassing all age groups, preferred.
• Successful completion of department orientation, skills competencies specific to department
• Completion of 54 LMS modules within six (6) months of hire (proof of completion of college medical terminology with a C or better; may be used in lieu of modules)
• Completion of Personal Accountability class within first six (6) months of hire
• Departments requiring basic IM injections must complete above requirements, CDC modules, injection class, and department skills competency. Along with department manager and physician approval.
• Required to obtain certification or registration within fifteen (15) months of hire through organizations approved by Billings Clinic. If coming from a medical assisting program; must be obtained within 90 days of program completion.
ADDITIONAL QUALIFICATIONS LEVEL II
• Certification or Registration (within 90 days of employment) if hiring criteria was met without this.)
• Completion of all department requirements and competencies for a Level 1.
• Required to help with externs and simulation labs depending on organizational and department needs.
• Approval of Department Manager and Supervising Physician with no current disciplinary actions.
• The following criteria could result in employee moving to a lower level and a reduction in pay;
• Department transfers with different unit specific requirements/training.
• Department transfers to areas with limited levels.
• Request of physician.
• Continue on-going education for additional duties/skills of an advanced level.
• Maintain requirements and expectations of a Level II.


Minimum Qualifications for LPN


Education


• High school diploma or equivalent
• Graduate of an approved licensed practical nursing program


Certifications and Licensure


• Healthcare Provider CPR Certification
• Current Montana or Wyoming state license as a registered nurse required

Education


• Graduate of an accredited school of nursing

Associate (or Diploma) RNs hired into this position must commit to completing their Bachelor of Nursing degree within 4 years of their date of hire. Billings Clinic will help support the cost through financial assistance.
