Responsible for office/clerical duties to support department goals and objectives in accordance with standard procedures.
Job Responsibilities
Process, sort, file and review work orders
Printing and filing of reports
Distribute paperwork as necessary to the various departments
Input information into the RTA system regarding parts inventory, and maintain parts inventory, ordering, physical sorting, moving locations and stocking. Retrieve parts from vendor locations when necessary
Answer, transfer calls, take messages, page and make phone calls as necessary
Equipment used includes calculator, copy machine, fax machine and computer
Performs data entry (work orders, etc.) in a timely fashion in Excel and Access
Assists with special projects as needed and assigned
Maintain neat, accurate, organized files
Type’s correspondence and reports, verifying and assuring accuracy and timeliness
Maintain department supplies and forms, ordering as necessary within budgetary guidelines
Maintain, sort, file and check vehicle inspection forms
Maintain files of vendors, payments, and requests
Qualifications
High school diploma or equivalent
Excellent human relations skills
Data entry skills
Accuracy and timeliness

Attends work regularly and on time as scheduled, and maintains an acceptable attendance level
Available to be flexible with hours if necessary including working overtime
Plans and prioritizes work load to ensure that department needs are met as well as the overall organizational needs of the company
Follows instructions promptly and efficiently, taking initiative when appropriate
Promotes good working relationships with company personnel, customers, and vendors
Responds promptly to e-mails and telephone calls, demonstrating consideration and courtesy
Communicates frequently with supervisor to alert the status of on-going operations pertaining to the incumbent's area of responsibility
Performs various Maintenance Department related functions and assignments in an accurate and timely manner, as required by the circumstances and/or by the supervisor
Assists other department personnel in the performance of work activities when peak work load required during absences of facility personnel
Treats others with respect
Adheres to safe work procedures
Communicates in a professional, business-like manner
Performs special projects as directed
