Position Responsibilities


  • Maintains highly confidential and sensitive materials on behalf of the CFO and CPO.


  • Manages heavy calendars; schedules all internal/external meetings and team meetings.  


  • Initiates and coordinates extensive business travel arrangements.


  • Performs support task as assigned, including timesheets, expenses reports, etc.


  • Independently identifies, organizes and implements appropriate flow of communication and documentation.


  • Prepare meeting agendas, take and process meeting minutes, track implementation of decisions.


  • Assist with the coordination of all audit activities. Includes preparation of work papers and reconciliations as requested by external auditors.


  • Assist in the development, write up, modification and implementation of accounting procedures, systems, and internal controls.


  • Strong work ethic, highly self-motivated, but understands the key need to be a great team member.


  • Able to multi-task and prioritize in a dynamic environment.


  • Strong social and interpersonal skills with the ability to form professional relationships across all areas of the organization.


  • Excellent organizational and time management skills with strong attention to detail.


  • Experience building dynamic presentations (using Google Slides) and internal communication messaging.


  • Competency in data-related Excel database functions, including pivot tables and lookup functions.


  • Comfortable with editorial work on technical papers and presentations.


  • Experience with business tools such as Zoom, Slack, Google Calendar.


 Minimum Qualifications


  • Completion of four-year undergraduate degree or equivalent corporate experience.


  • Five to seven-years’ experience as an administrative assistant supporting multiple leaders.


  • Comfortable and confident when interacting with executives and staff of all levels, as well as high-profile clientele.


  • Ability to act diplomatically and respectfully when communicating with individuals of varying levels.


  • Must have exemplary verbal and written communication skills with the ability to handle sensitive correspondence regularly.


  • Demonstrated ability to excel in a fast-paced environment.


  • Advanced knowledge of MS Outlook and Google Workspace.


  • Be forward thinking and take initiative to anticipate the needs of a complex office.


  • Be able to remain calm under pressure and be flexible to changing priorities.


  • Exhibits initiatives, problem solving, and decision quality with a high attention to detail in a fast-paced environment.
