The Need

IJM is a dynamic, highly professional organization that has experienced rapid growth and an expanding platform of work. As IJM continues this trajectory of growth and scaling of its impact, IJM’s founder, Gary Haugen, serves as Chief Executive Officer, managing the operations of IJM’s global enterprise and is a frequent presenter and speaker to Congressional and other government entities, world forum platforms, news media, associations and churches around the world.

The ever increasing, complex demands on the CEO’s time requires the highest-level of executive support.   Accordingly, IJM seeks a mature, experienced, and energetic professional to provide direct administrative and project support to IJM’s Founder and CEO.  Reporting to the Global Senior Officer, CEO’s Office, who manages the CEO support team, the Sr. Executive Assistant will develop systems to enhance and maximize the CEO’s productivity and effectiveness; draft communication on behalf of the CEO; and provide direct executive-level administrative support.  The CEO team will succeed through regular interaction and collaboration to establish shared goals, determine priorities, manage tasks, and generate clear, consistent communication.

This position is based at IJM Headquarters in the Washington, DC area, and direct access to the CEO; the position reports to the Global Senior Officer, CEO’s Office.

Responsibilities

Process development and management


  • Utilize technological innovations to create, implement, and manage processes to improve efficiency and effectiveness within the CEO’s Office.


  • Facilitate workflows for the CEO related to his internal and external personal communication, calendar, task management, document management, knowledge management and management of direct reports.


  • Think creatively to independently identify, evaluate, and solve issues connected to the CEO’s Office as they arise, bringing them to the attention of the Global Senior Officer and CEO for input or resolution as needed.


  • With a deep understanding of the organization’s strategic plans, create, implement, and maintain CEO’s yearly time allotment, multi-year plans, and process for assessing strategic use of CEO’s time to maximize the effectiveness, sustainability and performance of the CEO.


  • Regularly utilize technological platforms to help manage the exponential work that is required of the CEO; stay up to date on current technology used as well as innovations and new technologies that are developed.


Communication


  • Manage, draft and/or edit CEO’s correspondence, including memoranda, reports, incoming calls, mail, and other documents on behalf of the CEO to accurately reflect the voice and message of the CEO’s office.


  • Draft proposals and memorandums for the CEO’s consideration, as needed, for decision making.


  • Manage and ensure follow-up on significant pieces of email and other correspondence in a timely way.


  • Processes and screen incoming and outgoing communication and correspondence to ensure proper dissemination of information.


Administration


  • Strategically analyze and problem solve the complexities of planning and scheduling the CEO’s calendar based upon agreed priorities; includes scheduling time for essential meetings, travel, tasks, and cueing up regular tradeoff discussions to accommodate often unpredictable, complex and changing requests.


  • Collaborate across the organization to secure advance preparation materials necessary for all CEO engagement; includes CEO’s weekly meetings with direct reports, senior leadership meetings, Board meetings, external engagements and other meetings.


  • Manage and track CEO’s office deadlines based on agreed priorities and deadlines assigned to ensure all deadlines are met and action items followed-up on.


  • Research, coordinate and orchestrate all travel advance work for the CEO’s Office including travel arrangements and coordination of event logistics for complex multi-city and international trips, ensuring excellent collaboration with teams across the organization (Note: this will require occasional availability during evenings and weekends)


  • Coordinate logistics for all special events organized by the CEO.


  • Compile, organize and maintain confidential physical and electronic documentation for meetings, projects, speeches, reports and office archives; Ensures proper management of electronic and manual filling systems.


  • Build and update the CEO SharePoint site so that it is a key reference point for information staff within the organization may need.


  • Maintain and update the contact information for external stakeholders communicating with the CEO as well as former staff and alumni who worked with the CEO closely.


  • Point of contact for managing and facilitating all CEO’s technology requests as well as cell phone, data plans, subscriptions, passwords, meeting spaces, office supplies and maintenance needs.


Finance


  • Manage CEO Office finances including generating expense reports and assisting in reconciling and verifying corporate credit card charges to ensure timely and accurate reimbursement, adhering to IJM best practices.


  • On behalf of the CEO, through delegated authority, review and approve timesheets and expenses, highlighting for the CEO any irregularities or matters for him to address.


General


  • Develop, share and train in best practices across the organization for teams interacting with the CEO’s Office.


  • Serve on interview panels, share expertise and advise on strategic discussions regarding hiring other Executive Assistants across the organization.


  • Build trust, good relationships and open communication across the organization with members of the Global Leadership Team, Board members, IJM’s office administrator/executive assistant network and external stakeholders, to ensure that the experience of the CEO’s office, as the face of IJM, is one of utmost professionalism, respect, and integrity.


  • Serve on the Executive Operations Functional Team in support of initiatives and events across the Executive Office.


Requirements:


  • Bachelor’s degree in business or non-profit administration or related area required (or equivalent relevant experience); advanced degree in Office Management, Business Administration or similar field preferred.


  • Minimum 10 years of experience providing direct high-level organizational and administrative support to a senior executive in an organization undergoing change and growth in a competitive, creative and fast-moving environment.


  • Experience in all five competency areas of project management; Preferred Certified Project Management Professional or eligible to take the PMP exam
