Job Description:

Basic Qualifications

The Office Services Coordinator must have at least 1 - 2 years of administrative, office services and/or facilities experience in a fast-paced office environment. A minimum of 2 years of work experience in the media/marketing/public relations industry preferred.

This person must work on-site in the New York City office. S/he should possess excellent organization skills; and working knowledge of Microsoft Office. This person should possess excellent interpersonal, writing/communication skills, and attention to detail; event logistical planning and customer service experience is preferred to ensure excellent service is provided to internal and external clients. Responsibilities may include, but are not limited to:

Client Service & Administration


    • Perform meeting/conference room scheduling and coordination; manage approval process and organize and communicate meeting set-ups and logistics as required to Facilities staff; AV team and Building Services.

    • Provide direction, administrative support and logistical coordination for all meetings/events/video shoots.

    • Coordinate office signage/promotional material requests.

    • Work with OS and A/V team to advise on maintenance required in rooms so quotes can be obtaining for approval, execution, and scheduling.

    • Assist with key community engagement, global and local all staffs and center-led events as needed.

Administrative Responsibilities


    • Provide administrative support to Global, U.S & NY staff across office: meeting assistance, printing, etc.

    • Provide Concierge phone coverage: intake messages and notify staff via email accordingly

    • Create employee IDs and accounts (building security, subscriptions, catering, supplies, mailing services, etc.)

    • Assist the OS team as needed with day-to-day projects, vendor communications and coverage when short staffed

    • Assist with seating software operations: desk booking, troubleshooting, profile set-ups, etc.

Financial Management & Planning


    • Manage budget process/issues as it relates to events/meetings (vendors, building services, etc.)

    • Manage time effectively and efficiently

    • Submit personal time sheets and expenses in a timely manner

    • Assist with invoicing and purchase order creations when needed

People Development


    • Develop strong rapport and relationship with employees, IT personnel and building management

    • Participate in the common review process for peers and managers

    • Engage in team building activities with department and within the larger agency
