Job Description:

Job Summary


Support Accounting and Finance responsibilities for all IT Leads, ensuring efficient use of resources and transparency of spend as reported to Executive Management and Business Unit Finance Leadership. Support Business Users with Financial software applications including ERP, Time Keeping, and Travel & Expenses.


Duties and Responsibilities


* Support Concur and ADP eTime enterprise software applications including configuration changes, password resets, software updates, end user training, and reporting

* Assist in supporting SAP ERP software application as applicable

* Assist in IT Procurement processes and process improvements including:

o Developing a template to track all expenditures by asset name, owner, serial number, vendor, expense amount, date of purchase and monitor to ensure proper use

o Coding expenditures by Cost Center and GL Code per guidance of IT Leads

o Maintaining templates to track the service period for multi-year purchases (e.g. 3 year pre-paid items)

o Facilitate PEA process and liaison with Corporate Accounting

o Development of continuous improvements to processes

* Assist in Managing IT Inventory Processes

o Assist in creating an Asset Management System

o Ensure that software and support renewals are processed on time and before service expiration

o Ensure that procured items are received and assets are recorded

o Record vendor-published end-of-life and end-of-service dates

o Highlight end-of-life and end-of-support hardware/software for refresh or upgrade through analysis

* Manage IT Leases

o Assist with IT leases in the initial creation and end-of-lease phases (where applicable)

o Use lease tracking forms to notify IT Leads of upcoming lease expirations to ensure timely termination and return of equipment

o Analyze lease information, making recommendations, or raising concerns to IT Leadership

* Assist in IT Budget Process by:

o Confirming billing amounts with appropriate IT resources

o Ensuring multi-year purchase renewals are included in the budget process

o Interact with IT vendors directly to research billing questions or disputes at the request of IT Leads

o Support IT Director of Finance in preparing Monthly Budget Reports

o Support IT Director by hosting a Monthly Budget Meeting with the IT Leaders and BU Finance Leaders to review actual to budget variances and issues as applicable

o Assist in highlighting budget variances to IT Management and forecast budget overages

o Participate in the annual budget processes as appropriate

* Other duties as deemed necessary.


Qualification Requirements


Minimum Education:


  • Two years college or tech training in accounting or bookkeeping

  • Four year degree preferred

Minimum Work Experience:


  • 2+ years' experience in accounting, record keeping and account analysis

  • Preferred IT Accounting experience

License(s) / Certification(s): None


Knowledge, Skills and Abilities



  • Excellent Organizational skills in Microsoft Office 365

  • Excellent analytical and decision-making skills

  • Strong verbal and written communication skills

  • Ability to manage and prioritize multiple assignments

  • Ability to maintain regular and predictable attendance.

  • Ability to work in a constant state of alertness.
