Campus Mail Center Supervisor at Saint Anselm College

Job Description:

This full-time position is responsible for all aspects of the Campus Mail Center which is responsible for receiving, sorting, processing and distribution of incoming and outgoing campus mail and parcels for students, faculty and administrative offices. The Mail Center Supervisor directs and works with the Campus Mail Center Assistant and several student employees to ensure all incoming and outgoing mail and packages are properly delivered.

Responsibilities:


  • Sorts and distributes all incoming mail and packages for students, faculty and staff through a standardized and efficient process leveraging Quadient technology.

  • Meters outgoing mail and packages and prepares bulk mailings ensuring the most cost-effective method is utilized.

  • Maintains logs of outgoing mail for proper inter-departmental accounting charges.

  • Oversees the bulk and business reply permits of the college.

  • Distributes mass campus mailings as needed.

  • Provides customer service to meet the needs of faculty, staff and students.

  • Answers customer questions regarding proper procedures by phone or in person.

  • Hires, trains and supervises mailroom workers.

  • Set the schedules for the team, making sure that adequate levels of staffing are maintained.

  • Approves and maintains hours worked by students and staff.

  • Provides coverage for any unscheduled shifts.

  • Understands and operates the various mail and package processing systems of carriers, including but not limited to, Federal Express, DHL/Airborne Express, United Parcel Post (UPS), United States Postal Systems (USPS), Registered, Certified, Insured and Express mail/packages.

  • Daily and monthly cash receipt reconciling

  • Ensures timely payment of Mail Center related invoices and adherence to the department budget

  • Maintains relationships with Mail Center vendors including various carriers such as USPS, UPS, FEDEX, Amazon, etc. to ensure the timely receipt and pickup of mail and packages.

  • Maintains a clean and safe work area.

  • Makes sure that the postage, packing supplies, and other goods used are fully stocked and competitively priced. Also, keeps track of inventory, and placed orders in a timely fashion to ensure proper stock.

  • Performs other related tasks as directed.

Education, Training and Experience:


  • A minimum of a high school diploma or equivalent is required

  • Supervisory and management experience preferred

  • Demonstration of working as part of a small team

  • Previous mail handling experience including familiarity with bulk mailings and postal regulations and requirements, as well as experience with automated postal equipment is preferred.

  • This individual should also be computer proficient particularly with MS Office suite and ability to learn specialized software.

Other:


  • Communication and leadership skills Must be able to communicate to a wide variety of college constituents. The Mail Center Supervisor oversees and directs the Assistant as well as a team of student workers. This individual must be able to plan and schedule employees to meet the daily demand of arriving and outgoing mail and parcels.

  • Physical stamina and dexterity this position requires long hours of standing and lifting potentially heavy parcels. Must be able to lift 10-20 lbs. numerous times each day and up to 35 lbs. a few times a day. Must be able to push and pull up to 75 lbs. frequently. Also requires frequent bending, twisting and reaching.

  • Administrative skills This individual is responsible for ensuring that mail and packages are sorted and processed in the most efficient way through the use of technology and other means. This individual is also responsible for overseeing the department budget and allocating expenses to the correct department.
